Position OverviewThe Office Support Specialist will provide dependable administrative support to leadership, logistics, and operations teams while helping manage the flow of information that keeps our business moving. A key part of this role is supporting fleet-related workflows, including tracking vehicle maintenance, coordinating schedules, entering expenses, and maintaining accurate records.
The ideal candidate is organized, proactive, comfortable working with spreadsheets and office systems, and able to balance multiple priorities with accuracy and professionalism.
Key Responsibilities- Administrative Support: Provide reliable day-to-day support to managers, leadership, logistics, and operations staff.
- Fleet & Logistics Coordination: Track vehicle maintenance schedules, help coordinate fleet-related logistics, and maintain accurate records for fleet activity.
- Expense Tracking: Enter, organize, and track fleet-related expenses, invoices, receipts, and related documentation.
- Documentation & Reporting: Prepare reports, update spreadsheets, assist with invoicing, and complete accurate data entry in a timely manner.
- Records Management: Maintain organized physical and digital filing systems for general operations, fleet records, and compliance-related documentation.
- Process Support: Follow established office procedures and help identify opportunities to improve workflow, organization, and communication.
- Communication: Coordinate with internal team members and outside vendors in a professional, responsive, and clear manner.
- Experience: Minimum of 1 year of administrative, office support, operations support, or related professional experience.
- Computer
Skills:
Proficiency with Microsoft Outlook, Word, and Excel, including accurate data entry and spreadsheet updates. - Organization: Strong ability to prioritize tasks, manage deadlines, maintain records, and follow through on details.
- Communication: Excellent written and verbal communication skills with a professional and service-oriented approach.
- Independence: Ability to work with minimal supervision while staying productive, accurate, and accountable.
- Attention to Detail: Strong accuracy when entering information, reviewing documents, and maintaining records.
- Experience supporting management, executive leadership, logistics, transportation, or operations teams.
- Prior exposure to fleet management tracking, vehicle maintenance records, transportation coordination, or industrial work environments.
- Familiarity with billing, invoicing, expense tracking, purchase records, or basic financial documentation.
- Experience working in a fast-paced company where priorities may shift throughout the day.
- A dependable self-starter who takes ownership of assigned responsibilities.
- Someone who enjoys creating order, maintaining accurate records, and keeping tasks moving.
- A professional communicator who can work well with managers, drivers, vendors, and office staff.
