Position Overview:

Under direct supervision of the Team Lead, the Intake Specialist serves as an initial point of contact for applicants for SSVF services. Responds to inquiries from applicants regarding program eligibility requirements and other issues as needed.

Responsibilities:

  • Receiving current and future veteran applicants regarding program application process and policies for SSVF services. Looks up applicants' data and provides information to applicants as needed.
  • Types various forms, reports and related routine correspondences required as part of the application process. Prints out and mails decision letters, missing information letters and hearing notices to applicants. Withdraws files if no response. Copies required documents and file within applicants' files.
  • Collaborate with local office Program Assistant, Case Managers, and Co-Team leads to serve all veterans during the intake process.
  • Performs initial data entry and updates in AWARD:
    Electronic Health Record system for SSVF
  • Maintains electronic and paper applicant files including making appropriate entries into the applicant database or other databases such as AWARDS and Smartsheet.
  • Maintains working knowledge of general operation and specific eligibility guidelines of all SSVF applicants to appropriate grant source(s) for assistance.
  • As supported, designated, and instructed by the Team Lead, the Intake specialist will create and adhere to the local office intake calendar, which will require scheduling the appropriate number of intake appointments in a given timeline (based upon the instructions from the Team Lead).
  • Attends applicant processing meetings, including occasional evening meetings, as needed. Assists applicants in completing paperwork, obtains information, explains process, and answers applicants' questions.
  • Reports weekly on eligible and ineligible applicants.
  • Provides applicants with appropriate information and referral services.
  • Creates and maintains relationships with inter- and intra-agency partners and departments regarding housing and support services for applicants (specific to veterans that do not qualify for SSVF).
  • Participate in training, supervision, regular staff meetings, and accepts responsibility for aiding the development of positive team relationships as requested.
  • Adhere to agency policies, procedures, safety standards and the professional code of ethics.
