Office Administrator/ Coordinator
Role Overview
Provide high‑level administrative support to members of the Individual Giving team. Handle confidential and sensitive matters, manage calendars, coordinate travel, support project execution, and maintain donor information in Salesforce and other databases.
Key Responsibilities- Serve as the primary time‑management point for assigned team members, maintaining a global view of meetings, presentations, and appointments.
- Coordinate and prepare meeting materials, draft agenda items, minutes, and follow‑up documents.
- Manage travel arrangements, including reservations, registrations, and expense reconciliation, in accordance with Duke Health Development procedures.
- Maintain confidential files and donor information, exercising sound judgment with sensitive issues.
- Enter donor activity into DADD, use Salesforce, and support stewardship communications.
- Research issues, summarize findings, and present recommendations to assigned staff members.
- Assume independence on short‑ and long‑term projects that require confidentiality and discretion.
- Support financial processes, such as receipt submission and expense reporting, working with the Director of Finance.
- Perform additional related duties as assigned.
- Post‑secondary education in secretarial science or a related business field (approximately two years) or equivalent combination of education and experience.
- Four years of related clerical/secretarial experience, including complex office functions, communications, and budgetary/accounting tasks.
- Demonstrated organizational skills, ability to multitask, and attention to detail.
- Excellent written and verbal communication skills.
- Strong customer‑service orientation and ability to work independently.
- Proficiency in Microsoft Word, Excel, and PowerPoint.
- Flexibility to adjust to pressing needs, including occasional evening, weekend, and overtime work.
Anticipated annual base salary: USD $19.80 to USD $30.63 (based on experience, education, and internal factors). Additional compensation includes medical and dental benefits, retirement contributions, and family‑friendly programs.
