Role overview

We are looking for a proactive and detail-focused Project Administrator to support the PMO Governance and Assurance team on a 6-month contract.

This role has been created to support the team in clearing an existing backlog, supporting mitigation activities through to go‑live, and ensuring governance and assurance processes are maintained while improvements are embedded.

The role will involve managing governance trackers, chasing outstanding actions, supporting assurance checks, updating documentation and helping the team maintain strong control across key PMO processes.

This position is best suited to someone with previous project administration experience who is comfortable working with governance processes, trackers, documentation and stakeholder follow‑up.

Key responsibilities
  • Record APG/AMIB approvals in the new tracker until the process is fully automated.
  • Proactively monitor and chase upcoming Gateways due.
  • Chase outstanding assurance checks and ensure updates are captured accurately.
  • Manage post‑assurance actions through to closeout.
  • Provide administrative support for change control activity.
  • Support the testing and updating of SOPs.
  • Manage and monitor the Governance and Assurance shared mailbox.
  • Maintain accurate records, trackers and documentation.
  • Follow up with stakeholders to ensure actions are completed on time.
  • Support the wider PMO Governance and Assurance team with ad hoc administration as required.
Skills and experience required
  • Good understanding of project environments, governance processes or assurance activity.
  • Strong attention to detail and accuracy.
  • Confident managing trackers, documentation and shared mailboxes.
  • Proactive approach, with the ability to chase actions and follow up with stakeholders.
  • Able to work autonomously and manage workload effectively.
  • Strong organisational and prioritisation skills.
  • Personable, confident and able to build good working relationships.
  • Excellent communication and people skills.
  • Comfortable working in a fast‑paced environment with changing priorities.
Personal attributes
  • Self‑motivated and reliable.
  • Organised and methodical.
  • Confident asking questions and following up on actions.
  • Able to work independently while keeping the team updated.
  • Positive attitude and willingness to get involved where needed.

We celebrate and support diversity and are committed to ensuring equal opportunities for both employees and applicants. INDCF-SO
