Job SummaryIn support of a department or group of professionals, regularly required to resolve moderately complex (non‑routine) administrative problems independently or with others. Problem resolution may include research. Tasks are typically diverse and advanced.
HoursMonday‑Friday
8‑4:30 (30 minute lunch)
Work PerformedIn addition to tasks outlined in the Administrative Clerk description, examples of work at this level may typically include some combination of the following:
- Manage executive calendars, email communications, meeting scheduling, and conference logistics.
- Prepare agendas, presentations, reports, spreadsheets, meeting minutes, and executive materials.
- Coordinate interviews, candidate scheduling, and onboarding support.
- Process purchase orders, supply orders, and procurement requests.
- Manage expense reconciliations, purchasing card transactions, and invoice processing.
- Monitor time and attendance records and process secondary payments.
- Coordinate office operations, including office supply ordering and administrative support.
- Support hospital committees and special programs through meeting coordination, ordering, and event logistics.
- Maintain organizational directories, tracking databases, and administrative records.
- Track employee licenses, certifications, mandatory education, and renewal requirements.
- Support accreditation, regulatory, audit, and compliance activities, including documentation for regulatory agencies.
- Maintain records and reports required for accreditation surveys and compliance monitoring.
- Coordinate employee recognition programs, including DAISY and BEE Awards.
- Assist with patient complaint documentation, peer review processes, and quality reporting.
- Prepare executive and operational reports while managing confidential personnel and organizational information.
- Perform other administrative duties and special projects as assigned.
Skills and Abilities
Creatively uses PC, word processing and other office tools. Thorough knowledge of department policies, procedures, and goals.
Minimum Qualifications- High school education or equivalent.
- Two years of administrative support experience of increasing variety and/or complexity.
