The UNC Family Medicine Center at South Durham
The primary function of the Administrative Specialist at UNC FAMILY MEDICINE is to perform and be a resource for all administrative functions. Successful candidate will not only be able to perform all administrative tasks but also be ready to help staff less familiar with administrative roles through complex processes. This includes but is not limited to scheduling, insurance verification/authorization, referral processing, fax management, form processing, and documentation.
The Administrative Specialist is a subject point person for administrative concerns, has more experience and is able to go outside of norms to satisfy patient needs. Extensive expertise in Family Medicine processes, workflow and layout is essential. Typical tasks include but not limited to:
- Familiar with Procedure and all types of Scheduling – Subject Matter Expert
- Use Epic scheduling reports
- Manage Referral and Appointment Request Work Queues
- Schedule medical appointments in person, via MyChart messages and by phone for patients.
- Collect insurance card information and input data in system.
- Manage Faxes and paperwork delivered for providers
- Prepare and maintain medical office records for routing. Entering data, resolving minor discrepancies. Handle more complex issues with supervisor.
- Enter data from source documents such as forms, tables and other materials. Resolve discrepancies by contacting appropriate individual or office to obtain missing information or to correct errors.
- Sort and distribute/route information such as forms and faxes.
- Monitor in-basket and email continually for urgent messaging
- Be visible and available to assist staff and providers
- Provide administrative coverage for other specialists as needed and assigned
- Work individually with junior staff as assigned to build overall skill of the team
Successful candidate will be service focused to offer prompt assistance with general inquiries from internal and external customers. Must exhibit computer dexterity, superior communication and organizational skill.
Other Information Education Requirements- High School diploma or GED
- No licensure or certification required.
- Two (2) years of clerical or administrative experience
- If Bachelor's degree, no years of clerical or administrative experience
- If Associate's degree, one (1) year of clerical or administrative experience Knowledge/Skills/and Abilities Requirements
