Administrative Support Assistant
The purpose of this position is to provide a variety of specialized administrative and office support to the assigned department or office. This class works under the Voter Services Manager.
Duties and responsibilities include providing general office administrative support as directed, performing routine office duties such as overseeing the front desk, answering phones, disseminating messages, maintaining conference/training room calendars, greeting and assisting the public, scheduling poll workers, coordinating meetings and data entry, responding to customers by providing routine information, editing, formatting and drafting documents, creating and maintaining specialized reports, records, and files, executing departmental list maintenance functions, assisting in maintaining departmental records, assisting with processing payroll, purchase orders, invoices, and human resource functions, and performing related work as assigned.
Knowledge, skills, and abilities include thorough knowledge of standard office practices, procedures and equipment, general knowledge of business English, spelling and arithmetic, ability to type accurately at a reasonable rate of speed, ability to make arithmetical calculations and file alphabetically, ability to interpret and transmit to subordinates departmental rules and regulations, ability to establish and maintain effective working relationships with other employees and the general public, ability to understand oral and written instructions, knowledge of office management techniques including the ability to organize workflow and coordinate activities, ability to take direction and follow documented procedures, and ability to engage positively with customers generally and in difficult situations.
Minimum education and experience requirements include high school graduation or GED equivalent, one (1) year of administrative or clerical support or related experience or an equivalent combination of education, training, and experience.
Physical demands refer to the requirements for physical exertion and coordination of limb and body movement. Performs sedentary work that involves walking or standing some of the time and involves exerting up to 10 pounds of force on a regular and recurring basis or sustained keyboard operations. Unavoidable hazards refer to the job conditions that may lead to injury or health hazards even though precautions have been taken.
