Position SummaryThis position functions as the assistant to the Department Chair of the Department of Health Policy and Management (HPM).
Responsibilities include:
- Manages complex and varied tasks associated with supporting the work of the Department Chair and other leadership team members.
- Ensures the day‑to‑day functions, activities, and communications in and from the office of the Chair are conducted effectively and professionally.
- Schedules the Chair’s time and travel, staying informed of deadlines and tasks to ensure timely completion.
- Schedules and supports departmental standing meetings and ad hoc meetings upon request, including preparing and distributing agendas, handouts, and minutes.
- Manages key documents and records within a Teams site file system.
- Co‑ordinates faculty searches, including scheduling search committee meetings and candidate campus visits, providing administrative support to the search committee, assisting with candidate travel arrangements, facilitating travel reimbursements, and making hotel reservations on behalf of candidates.
- Acts as liaison between the department Chair and external parties including the Dean’s Office, Central Administrative Unit staff, and other stakeholders.
High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate’s degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience; or Bachelor’s degree, preferably in business administration or a related discipline; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
ManagementPreferences
- Ability to clearly, concisely, professionally, and effectively communicate in writing and verbally with staff, faculty, students, and colleagues across the institution.
- Ability to synthesize complex discussions into concise summaries for meeting minutes.
- Ability to track and monitor pending issues for follow up.
- Ability to work independently with minimal supervision.
- Experience in higher education with Outlook Email and Calendar (or equivalent), Microsoft Office (primarily Word and PowerPoint), Zoom meeting participation (preferably Zoom meeting management), or Microsoft Teams sites.
