Role Description

The Assistant Office Manager is a full-time, on-site role based in Durham, NC. This role supports the daily operations of the dental office, including scheduling appointments, managing patient check-in and check-out, and maintaining accurate records. The Assistant Office Manager helps oversee front desk workflows, coordinates with clinical staff to optimize schedules, and supports billing and insurance processes as needed. Responsibilities include answering phones, responding to patient inquiries, organizing files, and ensuring office equipment and supplies are maintained.

The person in this role also assists with training and supporting administrative team members, promoting a professional, efficient, and patient-focused environment.

Qualifications
  • Strong Communication and Customer Service skills to interact effectively with patients, team members, and external partners.
  • Proficiency in Administrative Assistance and Office Administration to support scheduling, records management, and general office workflows.
  • Ability to operate and troubleshoot basic Office Equipment commonly used in a dental or medical office setting.
  • Attention to detail, organizational skills, and the ability to manage multiple tasks in a fast-paced environment.
  • Comfort with dental or medical practice management software and basic computer applications (email, spreadsheets, word processing).
  • Previous experience in a dental, medical, or healthcare office setting is preferred.
  • High school diploma or equivalent required; additional training or coursework in office administration or healthcare is a plus.
  • Demonstrated reliability, professionalism, and commitment to maintaining patient confidentiality and privacy.
