Kinetic Concepts, LLC is hiring for an Administrative Specialist II position.
Background:The Army Research Office (ARO) mission is to serve as the Army’s executive agency for development and conduct of extramural basic research with authority and responsibility for programs in the physical sciences, engineering sciences, and mathematical and information sciences, in response to Army wide requirements. ARO develops, acquires and manages an extramural research program comprising of single investigator-initiated projects, University Research Initiatives and University Affiliated Research Centers.
The Contractor shall provide services which support this mission. This position is required onsite at the ARO facility in Research Triangle Park, North Carolina.
- The contractor conducts a wide range of administrative support requirements. Each will be assigned to work with roles or divisions which will be assigned upon hire.
- The Administrative Support Assistant (ASA) will be proficient in the use of computers, to include MS Word, PowerPoint, Excel, Adobe Acrobat Professional and email software. Required experience includes the ability to quickly learn new computer-based data entry skills, task management and documentation.
- Attend training necessary to understand the of ARO's Corporate Information System (CIS) version 2 (CISV2).
- Analyze a proposal through either rejection or award within the CISV
2. - Assign and monitor work packages.
- Send out acknowledgement letters and verifies receipt.
- Input technical evaluator's organizational data/information for proposal and monitors evaluation process.
- Prepare and transmits "acceptance or decline" letters to investigators.
- Prepare Funding Documents/Plan in the CISV
2. - Ensure funding functions and associated WBS.
- Utilize the newly developed security process (Army Research Risk Protection Program- ARRP) including but not limited to:
Privacy Act Statement(s) (open/update/delete) before award and after award, ARRP questions and submittal (verify receipt). - Generate the Proposal Action Brief for the proposal selected for award.
- Reporting, which includes running and comparing similar reports from the legacy CIS and the CISV2 system to report inconsistencies.
- Verify that the extranet submitted reports for example, IPR, technical, etc. are working appropriately (receipt, delete, update) including delinquent reviews.
- Receive/compile data in response to data calls and taskers.
- Utilize all workflows using different proposal scenarios such as MURIs, SBIR, etc.
- Must be capable of implementing procedures involving finance, procurement, and proposal processing.
- Attend meetings as directed (primarily virtual).
Qualifications:
Education/Experience
- Possess (at a minimum) a Bachelor’s degree. Relevant Business and Administration experience of five (5) years can be substituted for degree.
- Expertise in contemporary business computer tools (spreadsheets, databases, word processing, presentations, and graphics) is essential.
- Strong written and oral communication skills are essential.
- Experience with the legacy ARO CIS is strongly desired.
- Must be eligible to access classified materials up to the level of SECRET established through completion of a TIER 3 personnel security investigation with results favorably adjudicated by the DoD Consolidated Adjudications Facility.
Hours:
Applicant shall be available during core work hours 0900 to 1500 or as established by the RA. The facility is closed during local or national emergencies, administrative closings, or similar Government directed facility closings.
Place of Performance:The primary work location will be Job Location within Government facilities.
Travel:It is anticipated that while executing the duties of the position, travel may be required to a government facility to obtain items such as a CAC or electronic equipment.
