Position: Director of Ops/ Marketing Assistant Real Estate

Seeking: A Proactive Right Hand for a Relationship-Driven Real Estate Practice The Heart of This Role

This is not a traditional "assistant" position.

I'm looking for a proactive, emotionally intelligent right hand who will thrive in our boutique real estate group's relationship-driven atmosphere and wants to grow alongside me as we continue to serve our community.

My team and I work with Keller Williams Elite Realty. I offer a relationship-centered real estate practice mainly serving the communities of Chapel Hill, Carrboro, Durham, Hillsborough, and Pittsboro. For 34 years, my work has been rooted in providing a high level of value, trust and knowledge for all things home & community for the families with serve.

We do this with a foundation rooted in continuing education both for ourselves and our clients, creating curated marketing through personalized storytelling, and building life- long connections. Core Responsibilities

Client Experience & Relationship Care

  • Support clients from contract to close with warmth, clarity, and consistency
  • Manage client communications, timelines, and expectations ensuring nothing falls through the cracks in the client journey
  • Coordinate thoughtful client touches (birthdays, anniversaries, popby's, follow-ups)
  • Create & help execute "wow" moment VIP client events with attention to detail

Operations & Systems

  • Oversee day-to-day operational flow
  • Assist TC in managing CRM (Brivity/Command), task tracking, and workflows
  • Maintain organized digital file systems and documentation
  • Improve systems and processes as the business grows

    Build and maintain templates and SOPs for repeatable tasks (gift tracking, launches, listings)
  • Partner with me to prioritize commitments, manage deadlines and maintain strategic focus

Marketing & Brand Support

  • Execute marketing campaigns, listings, and social media content
  • Draft and schedule newsletters, emails, and client communications
  • Prepare listing materials, flyers, brochures, and digital assets
  • Maintain brand consistency across all platforms
  • Support storytelling through writing and visuals

Events & Community Engagement

  • Plan and coordinate client appreciation events and pop-by's
  • Support community involvement and relationship-building initiatives
  • Event coordination: prep invites, coordinate vendors, guest tracking, run-of-show docs and post-event follow-ups, manage timelines, invitations, and follow-up

Skills & Experience
  • Experience in real estate, operations, marketing, events, or executive support preferred
  • Strong written and verbal communication skills
  • Comfortable with technology (CRM, Canva, Google Drive, email platforms)
  • Highly organized with excellent follow-through. Detail-oriented project tracking and inbox + calendar management
  • Emotionally intelligent, discreet, and professional
  • Strong communication, follow-through, kind assertiveness, with a people-first approach
