Summary

The Senior Program Coordinator for the Chemistry Undergraduate Studies provides programmatic support to the Director of Undergraduate Studies (DUS) group. This includes assisting with the daily operations of the undergraduate Chemistry program, coordinating faculty, staff, and student engagement, and advising on program policies and events. Key duties involve data analysis to monitor program effectiveness, coordinating events such as graduation ceremonies and orientation for new majors, and administering diversity and inclusion initiatives.

The coordinator also manages the undergraduate teaching assistant (TA) assignments process.

Responsibilities
  • Programmatic Support:
    Assist the DUS group with day-to-day operations of Chemistry s undergraduate program, including enrollment, majors, minors, and service courses; coordinate and advise faculty, staff, and students regarding program policy, events, and deadlines.
  • Operational planning:
    Plan, coordinate, and administer activities in the DUS group with emphasis on implementing and refining procedures, processes, services, and systems.
  • Student liaison:
    Serve as liaison between undergraduate students and the Director of Undergraduate Studies.
  • Program evaluation:
    Advise the Directors of Undergraduate Studies on program effectiveness using running queries and data analyses (quantitative and qualitative) from pre/post surveys, mid-semester surveys, and SISS data; investigate trends and implement improvements.
  • Graduate and major administration:
    Plan, organize, and coordinate official clearance of Graduate with Distinction projects by undergraduate Chemistry majors in collaboration with Principal Investigators, the DUS group, and the University Registrar.
  • Academic data management:
    Record and maintain academic and personnel data for all undergraduate Chemistry majors and minors, including data for large training grant reporting.
  • Fellowship and grant processing:
    Assist with processing of summer fellowships and academic year undergraduate training grant applications, including data summaries for selection committees, offer letters, and related activities.
  • Orientation and diversity initiatives:
    Administer orientation for new majors and coordinate diversity and inclusion events for Chemistry majors and prospective majors.
  • TA administration:
    Coordinate the administrative process for undergraduate TA assignments across fall, spring, and summer semesters; facilitate timely hiring and assignment decisions with faculty and instructional staff; oversee graduate TA assignments for exam grading and proctoring as appropriate.
  • Advising and compliance:
    Advise faculty on meetings with incoming and returning undergraduate students regarding course registration; monitor compliance with departmental and university regulations.
  • Events and outreach:
    Coordinate events such as Chemistry Department graduation ceremonies and related public relations/outreach activities with instructional staff.
Financial Duties
  • Payroll administration:
    Administer biweekly payroll for personnel in the Department of Chemistry, including hiring, salary changes, code changes, and termination.
  • Budget and records:
    Monitor the Undergraduate Budget and Undergraduate Payroll; maintain accurate financial records for undergraduate students employed by the department.
  • Compliance and reporting:
    Perform annual effort certification for assigned payroll; manage departmental undergraduate summer fellowships including projections, variance reporting, and reconciliation; manage and budget for the annual undergraduate poster session; provide support for other financial duties (e.g., JVs, invoicing, deposits, financial reports).
