SummaryThis position plays a key role in fostering financial strength by developing and coordinating financial reporting and analysis, budget development, and financial control monitoring for the Divisions of General Internal Medicine and Geriatrics/Palliative Care within the Department of Medicine (DOM).
PrimaryJob Responsibilities
- Support accounting activities and financial reporting for operational and non‑operational divisional activities, including budget development and monitoring.
- Prepare monthly variance reports and trend analyses for both SOM and DHIP budgets.
- Generate monthly reports for all institutional funds, including startup, discretionary, and internal grants, ensuring fund limits are respected.
- Process monthly and year‑end closing journal entries, review and approve expenditures across all fund codes, and lead supplemental payment submissions.
- Assist with the SOM’s monthly/quarterly FAM analysis and reconciliation, including overdraft management on fund codes/WBSE.
- Prepare and manage staff and faculty salary cost distributions; submit iForm and SEA change submissions.
- Support annual effort reporting and certification with Divisional DA’s and research administration team.
- Work with faculty to develop budget proposals for educational events and CME courses, tracking invoices and fund distributions.
- Reconcile problem invoices with Accounts Payable and follow up with purchasers.
- Provide support to one Program Coordinator and one Staff Assistant, including procurement tasks such as Buy@Duke and AP questions.
- Monitor revenue for clinical outreach contracts and serve as point of contact with DHIP AR.
- Provide oversight of corporate card and Concur system expenditures.
- Monitor endowment spending and respect associated restrictions.
- Collaborate regularly with Division Administrators, DOM central offices (Finance, DOMRA, CRU, HR, APT), and other divisional administrative positions.
- Strong accounting skills with attention to detail and ability to analyze financial data and present results clearly.
- Demonstrated financial knowledge using general ledger systems and handling large volumes of data.
- Analytical skills with investigative mindset and critical thinking.
- Mastery of Microsoft Office, especially Excel with pivot tables and graphs.
- Excellent written, oral, and conversational communication skills.
- Preferred:
Experience with budget proposals, financial reporting, and reconciliations in a medical or research environment.
