About Duke Health's Patient Revenue Management OrganizationPursue your passion for caring with the Patient Revenue Management Organization, which is Duke Health's fully integrated, centralized revenue cycle organization that supports the entire health system in streamlining the revenue cycle. This includes scheduling, registration, coding, billing, and other essential revenue functions.
Job SummaryIndependently performs specialized or advanced health information activities necessary to organize, maintain, and use electronic patient health records. Activities include research, analysis, and compilation of findings into summarized reports that will be shared within and external to the Health Information Management Department. The role requires high customer service, strong analytic and problem‑solving skills, and the ability to interpret and explain policy and external requirements related to privacy, release of information, positive patient identity, and other department and organization‑wide functions.
Specific responsibilities vary by the service unit within Health Information Management.
Release of Information Functions:
Review requests for medical records to identify dates of service, entity, provider and specific clinical documents requested. Work extensively in the electronic health record and decentralized electronic databases to locate specific clinical documents for the purpose of fulfilling a request. Verify patient authorizations to validate HIPAA required elements and legal authority of the requestor. Review NC and out‑of‑state subpoenas and court orders to determine validity and return invalid requests to the requestor.
Coordinate visits from Health Plan Reviewers and Research Monitors, provide electronic medical records, assign passwords, and deactivate passwords at conclusion of visits. Assist reviewers in locating specific documents as needed. Review requests for patient amendments, locate disputed documents, and notify provider of amendment requests. Track amendment requests to ensure patient notification within HIPAA required timeframe. Obtain itemized statements from PRMO Self Pay, calculate lien balances, generate Attorney Lien letters, and forward statements to requestors.
Obtain provider approval to release psychiatric encounter records when requested and seek approval to release records for minor patients ages 12‑17 to parent per NC statute and Federal law. Accompany certified copies or original health records to court and scheduled depositions, and testify in court and depositions regarding record authenticity. Patient Identity Management Functions:
Track, monitor, and validate patient overlays during registration and scheduling activities. Analyse and trend data for feedback to appropriate departments. Notify compliance and affected departments of incorrect documentation. Coordinate chart correction cases within Maestro Care, including evaluation of help desk requests, assignment of correction tasks, and verification of completion. Maintain an accurate Enterprise Master Patient Index (EMPI) through active research and comparison of potential duplicates and clinical history.
Perform name and demographic changes with supporting documentation, conduct concurrent and retrospective contact moves, and resolve overlay issues within 24 hours of discovery. Participate in a 24‑hour on‑call rotation. Work with management to compile and review trending reports for patient identity functions and assist in preparing procedure documentation to support processes and training.
