North Carolina Department of Health and Human Services requires the services of an EXPERT Epic Clinical project manager to manage the planning and implementation of an EHR implementation project for the Division of State Operated Healthcare Facilities and transition from the legacy and siloed clinical applications. This project management role will work with other EHR project managers and executive leadership team, multiple internal and external stakeholders, and selected vendor(s) to analyze, plan, and implement the clinical components required for an Epic EHR system.
This position will be responsible for working with senior-level business executives, IT management and personnel, business program resources and vendor staff to define and execute requirements and manage stakeholder expectations. It will manage day-to-day activities for the assigned portion of the project and perform input into overall EHR program reporting and the State's Project Portfolio Tool (MS Project Server) as needed.
Responsibilities- Maintain the scope, schedule, and quality of the project for the Clinical EHR build team. Modules in scope include: IP Clin Doc with Secure Chat & Rover, IP Clinical Case Management, Orders, Behavioral Health, Long-Term Care, Willow IP and Amb, plus Inventory, Ambulatory and Epic Care Link, Wisdom, MyChart, Healthy Planet, Bugsy.
- Set clear expectations for team members, defining roles and responsibilities at each project phase.
- Coordinate activities closely with the EHR Program Director and other project managers/team managers.
- Ensure that the business community is engaged throughout the project.
- Advise and coach team members, providing guidance on project issues, key success factors, and lessons learned.
- Communicate the benefits of innovation and system capabilities to the team.
- Reinforce the importance of the project in collaboration with the EHR program executives and the Program Director, providing consistent communication to the project team.
- Organize resources within the organization.
- Motivate and show appreciation for the team.
- Match team member skills to responsibilities appropriately.
- Manage the project from an organizational perspective while attending to detailed tasks.
- Serve as a support contact for revenue cycle.
- Identify and troubleshoot issues.
- Guide workflow design, system building, testing, and analysis of technical issues associated with Epic software.
- Serve as liaison between organizational needs and Epic implementation staff.
- Maintain regular communication with Epic representatives, including participation in weekly project team meetings.
- Ensure system meets the organization's business needs in regard to project deliverables and timeline, working with Epic representatives, the business community, and end users.
- Develop an understanding of operational needs to set direction for organizational workflows.
- Participate in training and work with end users.
- Report and review project status and issues on an ongoing basis with leadership.
- Hold weekly communications with team members to discuss status of deliverables, shared issues, end‑user concerns, budget, and upcoming milestones.
- Develop and maintain all required State CIO and DHHS PMO project documentation in coordination with other EHR PMO resources.
- Certified by Epic in at least one Clinical Inpatient or Ambulatory application (Required).
- Experience working on IT projects to deliver and/or enhance Electronic Health Record clinical applications (5+ years required).
- Experience working on clinical healthcare information technology projects (5+ years required).
- Ability to create project plans, timelines, and work breakdown structures using Microsoft Project (7+ years required).
- Very strong work ethic and ability to work at a fast pace to meet aggressive mandated timelines (7+ years required).
- Strategic planning skills with strong roadmap development understanding (5+ years required).
- Capability to lead effective project meetings tailored to the audience (7+ years required).
