Hiring Range: $63,516 - $79,395 / Annually
Work Schedule:
Monday-Friday 8:00 am-5:00 pm with some evenings, weekends, and holidays required
This position is responsible for coordinating special events for the City of Durham which includes implementing and managing special events, overseeing special event budget, supervising part-time personnel, and working with volunteers. Employee will also work with community organizations; create community partnerships; secure equipment; contract vendors; and serve on community-based committees. Decision-making includes providing input on special event objectives, establishing work goals and objectives of a unit to carry out management direction, and selecting the method to address a problem or issue, subject to the constraints established by management objectives and direction.
Responsibilities- Plans, organizes, and implements events such as Bimbe Cultural Festival, Latino Festival, the Durham Holiday Parade within approved budget.
- Coordinates planning meetings with staff and other involved parties to ensure that all aspects of an event are fulfilled in a timely and efficient manner.
- Administers logistics, operations, transportation, waste management, and other essential functions of an event.
- Supervises part-time staff, including planning, assigning, and evaluating work, training and coaching; and ensures safety, operational efficiency, and compliance with applicable regulations, policies, and procedures.
- Books and contracts performers and ensures that marketing materials can be prepared and distributed well in advance of the event.
- Submits all check requests and vendor payments, ensuring that paperwork is accurate and submitted prior to the event date.
- Assists with sponsorship solicitation for events.
- Assists in recruiting and coordinating staff and volunteers to ensure sufficient coverage for the event.
- Ensures that the required facility agreements and internal equipment reservations are completed by deadlines.
- Secures and submits external rentals and equipment needs in time for the event.
- Ensures that on-site evaluations are conducted at the event and evaluations are submitted to the departmental data coordinator within seven days of the completion of the event.
- Completes event reports within ten days of the completion of the event. Develops and makes recommendations; and reviews work to ensure accuracy and completeness.
- Manages all contractual and rental agreements, ensuring that payments are prepared and processed according to the requirements set therein.
- Managing event budgets and procurement processes; marketing; and community engagement.
- Monitors expenditures; prepares cost estimates; researches and analyzes financial and related data; and makes budget recommendations.
- Provides customer service; collaborates with community organizations, residents, volunteers, vendors, and City departments or external agencies; serves on community committees; establishes partnerships; investigates complaints and resolves escalated customer services issues; collaborates on execution of marketing plans and promotion of special events.
