The Office Manager is responsible for the overall client experience at their Emily Program sites. This includes office logistics, provider support, team leadership, and client relationships. They will work with the Site Director, operations and administrative teams to ensure an exceptional experience for each client.

In addition to managing administrative operations, the Office Manager works with clients and families to provide a personal and meaningful connection as the “on-site” point of contact. The role plays a critical part in welcoming new clients into care at The Emily Program and strives to increase conversion and decrease cycle time from registration to program admission (e.g., entry into Outpatient and Intensive Programs).

As a key on-site point of contact, the Office Manager supports timely admissions, monitors census flow, and tracks operational metrics that support site performance.

The Office Manager will support multi‑site needs, including people management, logistics coordination, supply ordering, inventory oversight, and administrative workflows. This role requires strong organization, attention to detail, and the ability to manage multiple priorities while maintaining structured, efficient systems. The position also participates in weekly new‑employee onboarding support, helping ensure new team members feel prepared, welcome, and oriented to the site from day one.

Schedule: Monday through Friday, 8:00 a.m. to 5:00 p.m.
Location: On‑site at our two Durham‑based locations.

Responsibilities
  • Manage and oversee day‑to‑day activities of site’s operations: plan, direct, and coordinate operations of site in close partnership with Site Director (non‑clinical and clinical)
  • Responsible for leading site administrative team and affecting site operations to ensure a warm, welcoming environment
  • Manage and oversee building and suite key assignments as well as parking pass management, if applicable to site
  • Monitor suppliers (contractors—e.g., maintenance, special deep cleaning, janitorial services) to ensure efficient and effective services are provided within site budget limits
  • Drive personal and/or company vehicle for work purpose, including client transportation, as needed
Qualifications
  • Bachelor’s degree strongly preferred
  • Previous leadership experience strongly preferred
  • 2+ years’ experience in an administrative support or customer service role in a healthcare setting desired
  • Active driver license and ability to drive personal and/or company vehicle
Compensation
  • Starting salary range between $55,000‑$65,000
  • Final compensation offered will be within the pay range based on qualifications/experience met for the position
