Under the direct supervision of the Team Lead, the Intake Specialist serves as an initial point of contact for applicants for SSVF services. The Specialist responds to inquiries from applicants regarding program eligibility requirements and other issues as needed.
Responsibilities- Receive current and future veteran applicants regarding the SSVF application process and policies.
- Look up applicants’ data and provide information as needed.
- Type various forms, reports, and routine correspondences required for the application process.
- Print and mail decision letters, missing information letters, and hearing notices to applicants; withdraw files if no response.
- Copy required documents and file them within applicants’ records.
- Collaborate with local office Program Assistant, Case Managers, and Co‑Team leads during the intake process.
- Perform initial data entry and updates in the AWARD electronic health record system.
- Maintain electronic and paper applicant files; enter data into applicant databases such as AWARDS and Smartsheet.
- Maintain knowledge of eligibility guidelines and match applicants to appropriate grant sources.
- Create and adhere to the local office intake calendar as directed by the Team Lead.
- Attend applicant processing meetings, including occasional evening meetings.
- Assist applicants in completing paperwork, obtaining information, explaining processes, and answering questions.
- Report weekly on eligible and ineligible applicants.
- Provide applicants with appropriate information and referral services.
- Create and maintain relationships with inter‑ and intra‑agency partners regarding housing and support services for applicants who do not qualify for SSVF.
- Participate in training, supervision, regular staff meetings, and aid in developing positive team relationships.
- Adhere to agency policies, procedures, safety standards, and the professional code of ethics.
- Perform other duties assigned by the supervisor.
- Minimum four‑year degree or equivalent 2–4 years of experience working directly with families and at‑risk populations, including homeless veterans, formerly incarcerated veterans, veterans with mental health or substance use disorders, and veterans facing economic challenges.
- Ability to organize, assign tasks, and supervise volunteer staff.
- Excellent verbal and written communication skills.

- Ability to meet deadlines with attention to detail.
- Complete tasks with required documentation on time.
- Proficiency in Microsoft Office applications.
- Preferred:
Bilingual in Spanish;
Peer Support Specialist.
This position requires a regular Monday–Friday weekday schedule. It is a nonexempt, salaried position and may require after‑hours duties based on the needs of the veterans we serve.
