POSITIONSUMMARY
Acres of Diamonds is seeking an experienced strategic Director of Administration who will serve as a key member of the senior leadership team. This full‑time role provides high‑level support to the Chief Operating Officer and close collaboration with the CFO. The Director will deliver strategic oversight and operational leadership of Facilities, Human Resources (including payroll and benefits), information technology, and capital grant administration, while partnering closely with the CFO on financial administration, budgeting, reporting, and cross‑functional stewardship.
The successful candidate will bring strong leadership, organizational, and innovative skills to build scalable systems and processes that support our fast‑growing organization. This is an exciting season of expansion, including a new campus addition, new early learning center, and growth from serving 18 to 35 families. By collaborating with other Directors, this role will drive operational excellence and enhance our ability to serve staff and the community supporting moms and kids experiencing homelessness.
GENERALDUTIES AND RESPONSIBILITIES
The Director of Administration provides strategic leadership and operational oversight for critical support functions. This role focuses on building scalable systems, developing strong teams and vendor relationships, ensuring compliance, and efficiency while appropriately delegating day‑to‑day execution.
- Collaborate with the COO, CFO, other Directors, and vendors on strategic and operational decisions.
- Monitor key metrics, deliver actionable insights, and support data‑informed decision making and responsible stewardship across the organization.
- Provide strategic, end‑to‑end leadership of HR (recruiting through offboarding), including payroll (BambooHR), benefits, employee relations, performance management, training, compliance, and culture aligned with Acres of Diamonds values and applicable laws.
- Ensure consistent, company‑wide compliance training; support professional growth; and maintain equitable processes for performance reviews, improvement plans, and terminations as needed.
As we prepare to scale into a new, significantly larger campus, this role will help lead an exciting season of growth while staying nimble through unforeseen circumstances during a major expansion (new campus addition and Early Learning Center). You will ensure the facilities team is well staffed and supported, coordinate with key building volunteers, and oversee:
- The Facilities department in ongoing building maintenance forecasting of potential risks to Acres properties, and the planning and execution of sustained capital needs.
- Providing managerial support to Facility Manager as they prioritize and execute projects and implement new policies and procedures company wide.
- Ensure the best use of technology in all operations, support building of new 24 family home and Early Learning Center technology needs.
- Prioritize and execute projects to implement new company‑wide systems, policies and procedures for scale.
- Oversee our dedicated Capital grant administrator.
- Align admin systems (HR/IT/Facilities) with CFO‑managed finance systems; ensure clean data flow.
- Support senior leadership with administrative reporting and dashboards.
- Partner with the fractional CFO on budget tracking, reporting support, and invoice‑processing oversight.
