Reports to:
Associate Pastor (or Lead Pastor in their absence)
Hours:
14 hours/week (spread over 3–4 weekdays)
Pay: $20–$25/hour, depending on experience
The Office Manager plays a key role in supporting church staff, ministries, and the congregation by ensuring smooth day-to-day operations, effective communication, and organized systems in conjunction with other office staff. This position requires strong administrative skills, attention to detail, and a heart for ministry.
Key Responsibilities- Maintain office supplies, equipment, and contracts
- Answer phones, manage voicemail, and greet visitors
- Maintain phone system with Tech Team and staff directory
- Record and distribute minutes for staff and congregational meetings
- Prepare staff meeting agendas and materials
- Document and update policies and procedures
- Process and track accounts receivable (e.g., facility rentals)
- Evaluate office software needs and research options as needed.
- Support Church ministries and Governance board as needed
- Manage Planning Center calendar and event requests
- Provide security instructions for event leaders/volunteers
- Assist with purchasing and logistics
- Support Student Ministries (communications, scheduling, permission forms)
- Track and follow up on baptisms, baby dedications, and membership
- Run background checks for staff and volunteers
- Coordinate room reservations and cleaning/set up schedules
- Assist with maintenance coordination and contractor communication
- Maintain building temperature schedules
- Support building security processes (keys, training, access)
- Track janitorial supplies and equipment records
Qualified candidates should demonstrate:
- A clear and growing personal faith in Jesus Christ
- Agreement with Chapel Hill Church’s Statement of Faith, Mission, Vision, and Values
- Strong organizational, administrative, and problem-solving skills
- Excellent written and verbal communication abilities
- Ability to work independently and maintain confidentiality
