Overview

Serve as a professional and welcoming representative of the Training HAUS's patients, families, visitors, and Viking stakeholders. This position frequently requires front‑line customer service and problem resolution.

This is a full‑time role, working Monday‑Thursday either 6:00 AM – 2:30 PM or 8:00 AM – 5:00 PM at our Eagan location.

Essential Functions
  • Fully understand, describe and promote all aspects of the Training HAUS.
  • Greet and register patients; collect co‑payments, pre‑payments and insurance information.
  • Manage multiple meeting hosts, providers and class instructor schedules through Mind Body and Outlook calendars.
  • Accurately and efficiently schedule new and existing patients in the current practice management system.
  • Communicate all pertinent patient information including appointment details, directions, check‑in times, referral information and copayments.
  • Maintain a working knowledge of health‑care plan requirements and networks.
  • Verify and document insurance information as defined by current business practices.
  • Chart management.
  • Maintain timely communication with patients and families while in clinic.
  • Occasionally participate in community functions relating to TCO outreach events throughout the year.
  • Any and all other duties as assigned.
Education and Experience Requirements
  • High School diploma/GED or equivalent.
  • Customer service experience required.
  • Administrative or Medical Office experience preferred.
  • Experience teaching fitness classes preferred.

Actual starting pay will vary based on education, skills, and experience.

  • Ability to sit for extended periods (up to 8 or more hours per day).
  • Frequent use of hands and fingers for typing, writing, and handling documents.
  • Occasional standing, walking, bending, or reaching within the office environment.
  • Ability to lift and carry office supplies or files weighing up to 20 pounds.
  • Visual acuity to read electronic and paper documents.
  • Auditory ability to participate in phone or video calls clearly.
  • Manual dexterity to operate standard office equipment (e.g., computer, phone, printer).

Ability to:

  • Work in the clinic during business hours.
  • Travel independently throughout the clinic/surgery center (including movement from floor to floor); sit for long periods of time.
  • Work at an efficient and productive pace, handle interruptions appropriately, and meet deadlines while upholding integrity, service quality, innovation, and teamwork.
  • Prompt and reliable attendance.
  • Converse in a respectful and professional manner.
  • Apply principles of logical thinking to define problems, establish facts, and draw valid conclusions.
  • Understand and execute a variety of instructions.
  • Effectively operate clinic and office (e.g., PC) equipment and communicate on and operate the phone system.
  • Work independently with minimal supervision.
  • Travel to other work locations, if required.
  • Ensure compliance with policies, procedures and practices.
  • Ensure compliance with all applicable laws, regulations, etc. (e.g., HIPAA, Stark, OSHA, employment laws); company policies and procedures; business ethics; etc.
