Mail, Shipping & Material Coordinator

What this job involves:
As a Mail, Shipping & Material Coordinator at JLL, you will play a vital role in keeping our client operations running smoothly at our Eagan, MN location. This hybrid position combines hands‑on shipping and logistics coordination with administrative project support for our global account team. You will be the go‑to expert for managing the complete lifecycle of shipments—from preparing courier packages to processing international freight, coordinating material handling, and hazardous waste transportation.

Your work will directly impact operational excellence as you troubleshoot logistics challenges, maintain compliance with safety regulations, and use data analytics to optimize shipping processes. This position is ideal for someone who thrives in a fast‑paced environment, takes pride in precision, and brings a collaborative team‑player attitude to everything they do.

Day‑to‑Day Responsibilities
  • Prepare and coordinate courier packages, manage pick‑up and delivery schedules while confirming receipt with stakeholders and resolving any delivery issues promptly
  • Process international shipments and validate documentation for handoff to freight suppliers, including entering Bills of Lading and maintaining accurate records of all inbound and outbound packages
  • Create reports using data analytics to track shipping trends and identify opportunities for operational improvements
  • Transport hazardous and non‑hazardous lab waste containers (5‑gallon and 55‑gallon drums) to centralized building locations, following strict safety protocols and compliance checklists
  • Process waste stream profile system requests, inspect drums for proper labeling, close containers according to specifications, and palletize materials for shipping
  • Sort and distribute USPS and PO Box mail, coordinate on‑site package pick‑ups for employees, and maintain organized work areas that meet safety standards
  • Troubleshoot equipment and software issues to ensure seamless shipping operations and communicate with lab personnel regarding non‑compliant waste shipments
  • Maintain inventory of shipping supplies, labels, liners, and related materials while following all health and safety regulations including proper use of personal protective equipment
  • Provide administrative support and operational excellence across the global account team, managing multiple priorities in a dynamic environment
Required Qualifications
  • High school diploma or equivalent
  • Experience operating forklifts, manual pallet jacks, and powered pallet jacks in a warehouse or logistics environment
  • Ability to lift 50 lbs. repeatedly and perform physical tasks including lifting, bending, and twisting
  • Strong customer service and interpersonal skills with the ability to interact professionally with client personnel and diverse stakeholders
  • Excellent written and verbal communication skills with the ability to present information clearly and concisely
  • Proficiency with Microsoft Office products including Excel, Word, and Outlook
  • High degree of accuracy and attention to detail when handling sensitive equipment and routing shipments
  • Ability to work effectively in a fast‑paced environment while managing multiple work streams and competing priorities
  • Commitment to following health and safety protocols, including material handling instructions and compliance checklists
Preferred Qualifications
  • Forklift certification
  • Experience in shipping, logistics, or material handling operations
  • Familiarity with hazardous waste handling procedures and compliance requirements
  • Experience with data analytics and creating operational reports
  • Knowledge of international shipping documentation and freight coordination
  • Experience using waste stream profile systems or similar tracking platforms
  • High degree of comfort learning new technologies and adapting to evolving systems

Estimated compensation: 49,000.00 – 71,000.00 USD per year
