ResponsibilitiesThe Housing Administrative Assistant provides administrative, clerical, and customer service support to the Kickapoo Traditional Tribe of Texas Housing Authority (KTTTHA). This position assists with tenant intake, recordkeeping, correspondence, scheduling, and general office operations to ensure the efficient day-to-day functioning of the Housing Authority and to support compliance with tribal requirements.
Essential Duties and Responsibilities- Greet and assist tenants, applicants, and visitors in person, by phone, and by email in a professional and courteous manner.
- Maintain accurate and confidential tenant and applicant files, including applications, leases, recertifications, and supporting documentation.
- Process incoming and outgoing correspondence, mail, and office communications on behalf of the Housing Authority.
- Schedule appointments, inspections, and meetings for the Housing Authority Director and program staff.
- Assist with data entry and recordkeeping in housing management software and maintain organized physical and electronic filing systems.
- Prepare routine reports, memos, letters, and forms as directed by the Housing Authority Director.
- Receive and route maintenance requests, tenant complaints, and work orders to appropriate staff.
- Assist with the preparation and distribution of notices, including lease violations, rent statements, and program announcements.
- Support intake and waiting list processes for housing assistance programs, ensuring required documentation is complete and accurate.
- Order and maintain office supplies and equipment and assist with maintaining a clean and organized office environment.
- Maintain strict confidentiality of tenant, personnel, and program records in accordance with tribal policy and federal privacy requirements.
- Assist with special projects, audits, and compliance reviews as assigned.
- Perform other duties as assigned by the Housing Authority Director.

This position carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws.
Education and Experience RequirementsMinimum Qualifications — High school diploma or equivalent required; six months of some experience in clerical or customer service experience.
Preferred Qualifications — Associate’s degree in business administration or related field preferred. One to two years of administrative, clerical, or customer service experience, preferably in housing, social services, or tribal government.
