Position: Housing Shop Supervisor

The Housing Shop Supervisor oversees the operations of the Housing Department’s warehouses, materials, and work order system. This position is responsible for ensuring timely processing of work orders, maintaining proper inventory levels, coordinating with clerical staff, and supporting maintenance and construction supervisors with needed supplies. The Housing Shop Supervisor serves as a key link between administrative support and field operations.

Essential Duties and Responsibilities
  • Oversee warehouse and shop operations, including inventory control, procurement, and material distribution.
  • Coordinate with Maintenance Supervisor, HVAC Supervisor, and Construction Supervisor to ensure crews are adequately supplied.
  • Generate reports on shop activity and inventory usage for management review.
  • Implement and enforce safety standards for shop and warehouse operations.
  • Develop and maintain efficient systems for tracking supplies and reducing waste or loss.
  • Assist in budget planning related to shop operations, supplies, and inventory needs.
  • Delegate tasks and responsibilities to team members, ensuring that all work is completed efficiently and to a high standard.
  • Oversee the inventory of materials, supplies, tools, and equipment used in the Housing Department’s programs.
  • Ensure that all inventory is adequately stocked at all times, monitoring levels to prevent shortages.
  • Review and apply inventory activities, including tracking movements and deletions of materials and equipment.
  • Maintain and update inventory records to ensure accuracy.
  • Maintain detailed records of all materials used by contractors, ensuring accurate documentation for accountability and project tracking.
  • Create and manage check-in and check-out logs for contractors’ materials, ensuring that all items are tracked effectively.
  • Monitor the usage of contractors’ materials and report any discrepancies or issues to management.
  • Develop and implement efficient inventory management procedures.
  • Proactively order supplies and materials as needed to maintain optimal inventory levels.
  • Obtain quotes and place orders to restock necessary parts and supplies in a timely manner.
  • Receive and inspect shipments of all Housing Shop materials, tools, and equipment, ensuring they meet quality standards.
  • Implement a system for tracking all equipment when checked in and checked out, ensuring accountability and proper usage.
  • Maintain detailed records of equipment usage, including who checked out the equipment and the duration of use.
  • Work closely with the assets department to identify items that are no longer needed or are obsolete and may require disposal.
  • Assist in the evaluation and documentation of items for disposal, ensuring compliance with organizational policies and procedures.
  • Keep detailed records of materials purchased for specific projects to ensure accountability and budget adherence.
  • Report any stock issues, losses, or damages to management promptly.
  • Oversee the maintenance and basic repairs of small tools and equipment/machinery to ensure operational efficiency.
  • Operate machinery such as forklifts, skid steer loaders, and riding mowers for storage, repair, or maintenance tasks.
  • Ensure that the shop area is clean, organized, and free of hazardous materials, securing the area as necessary.
  • Maintain Material Safety Data Sheets (MSDS) in visible areas for compliance and safety awareness.
  • Keep fire extinguisher inspection records up to date to comply with safety regulations.
  • Perform other tasks as assigned by the Director, demonstrating flexibility and responsiveness to operational needs.
