Wage Range: $30-$35/hourly

Job Summary

This role will team with project managers, project engineers and field managers to provide the administrative support related to all phases of construction projects from start to completion.

A successful candidate will be responsible for the following:
  • Prepare monthly billings, lien releases and required paperwork for the billing process for our customers. Enter invoices into our accounting system in the correct fiscal period and submit to our customer prior to billing deadline. On average this role will produce 20 bills per month.
  • Follow up with customers with regards to payment status regularly.
  • Keep project manager, project engineer and field managers up to date with weekly job cost reports.
  • Generate weekly A/R Aging and Service reports for Project Engineers and Project Managers.
  • Prepare Operations & Maintenance manuals at the direction of the Project Engineer. Prepare the cover sheet, table of contents, list of vendors and subcontractors and the warranty statement. Collect start up reports, test and balance reports and as-built drawings as needed. Assemble electronically or hard copy and submit to our customer by the required due date.
  • Calculate labor incentives on projects per direction from the Project Engineer. This requires understanding of our job cost reports.
  • Set up projects in Procore including uploading drawings and specs and granting permissions to team members.
  • Assist with submittal and RFI management in Procore per direction from the Project Engineer.
  • Assist in preparing turnover documents for field managers per Project Engineer direction as required. This includes gathering the proposal, estimate, job cost report, project schedule, drawings, specs and contact lists.
  • Close jobs in our accounting system as required. Includes reviewing project financial information and researching issues if job proves ineligible for closing.
  • Manage Egnyte permissions as needed.
  • Obtain tax exempt certificates as required.
  • Obtain required insurance certificates.
  • All clerical duties, correspondence, typing, filing, deliveries, mailing and copying as necessary.
  • Other duties as assigned.
Qualified candidates will possess the following education, experience and skills:
  • High School Diploma or equivalent.
  • Ability to work in a fast paced environment.
  • Must be organized and detail oriented.
  • Ability to build and maintain positive relationships amongst team members.
  • Functional knowledge of personal computers including Microsoft Windows, Word, Excel and Outlook required.
  • Prior experience with accounts receivable preferred.
  • Ability to read construction drawings a plus.
  • Working knowledge of Procore, Bluebeam & Viewpoint a plus.
