Accounting & Administrative Specialist
Works under the direction of the Office Manager in areas of accounting, inventory, sales support, and contracts, while interacting closely with customers, brand stakeholders, and management.
Responsibilities- Create and invoice all sales invoices for customer orders in a timely manner, including sales, parts orders, repairs, telephone support, advance exchanges, menu maintenance, travel expenses, and more.
- Ensure sales orders are accurately entered into the CRM tool.
- Retrieve setup paperwork from customers.
- Assist with internal inventory tracking procedures, including following up on unreturned equipment exchanges.
- Oversee and enter monthly inventory counts.
- Advise management of any significant billing or customer issues.
- Review service orders in CRM/PSA.
- Assist with other invoicing tasks as needed.
- Develop working knowledge of solutions, services, and products offered by the company.
- Answer telephones and route calls to the correct individual.
- Create new customer files and file them appropriately.
- Enter payables into the accounting system and schedule payments.
- Send daily invoicing reports, weekly payables reports, and daily deposit reports to management.
- Manage accounts receivable deposits.
- Reconcile accounts, including company credit card accounts, third‑party billing, and retainers.
