Pickens County Adult Education Receptionist 2026-27

Under occasional supervision, performs a variety of receptionist, clerical, and office-support duties to maintain effective and efficient daily operations at Pickens County Adult Education. Serves as the primary point of contact for students, families, staff, partners, and visitors; manages telephone and front-desk communications; assists with student registration and scheduling; and maintains accurate office records. Reports to the Director of Adult Education.

Essential Functions:

  • Greets students, families, visitors, and community partners and provides a welcoming, professional, and student-centered front-office environment.
  • Answers the telephone, screens and routes calls, responds to routine questions, records accurate messages, and directs inquiries to the appropriate staff member or service.
  • Monitors individuals entering and exiting the building and follows established visitor, safety, and security procedures.
  • Assists prospective and current students with appointment scheduling, registration steps, required documents, program information, and referrals to appropriate staff.
  • Supports student intake and orientation by preparing materials, confirming appointments, organizing paperwork, and communicating schedules and next steps.
  • Performs general clerical and receptionist functions, including word processing, copying, scanning, filing, data entry, processing forms, maintaining records, scheduling appointments, processing mail, and ordering supplies.
  • Prepares, formats, proofreads, and distributes correspondence, reports, forms, certificates, recognition materials, and other program documents.
  • Maintains accurate electronic and paper records in accordance with district procedures and applicable confidentiality requirements.
  • Works with instructors and staff to verify, monitor, and communicate student attendance information and support timely follow-up and retention efforts.
  • Receives and responds to inquiries and concerns from students, families, and the public; resolves routine matters and refers complex issues to the appropriate staff member.
  • Maintains shared calendars and assists with arrangements for orientations, meetings, graduation, student recognition activities, and other program events.
  • Uses district-approved technology, including email, Google Workspace, online forms, spreadsheets, student information systems, copiers, scanners, and other office equipment.
  • Coordinates routine office-equipment maintenance and repair requests as needed.
  • Communicates effectively with the immediate supervisor, district administrators and staff, instructors, students, families, partner agencies, vendors, service personnel, and the general public.
  • Protects confidential student, personnel, and program information and follows all district policies and procedures.
  • Assists the Director and other staff members with special projects and performs other related duties as assigned.

Minimum Education and Training:

  • Must have a two-year degree, at least 60 semester hours of college credit, or the district-approved qualifying score on WIN/Work Keys or an equivalent assessment.
  • Coursework or a credential in business administration, office administration, secretarial science, or a related field is preferred.
  • Relevant receptionist, customer-service, clerical, school-office, or administrative-support experience is preferred. An equivalent combination of education, training, and experience that provides the required knowledge, skills, and abilities may be considered.
  • Must be able to type accurately and efficiently and use modern office technology, including Google Workspace, email, online forms, spreadsheets, and document-management tools.

Physical Requirements:

Must be physically able to operate a computer, telephone, copier, scanner, and other standard office equipment. Work is primarily sedentary and involves sitting for extended periods, with occasional standing, walking, bending, reaching, and lifting or carrying office materials generally weighing up to 10 pounds. Interpersonal Communication:

Requires the ability to read and understand policies, procedures, instructions, forms, correspondence, and reference materials. Requires the ability to enter data and prepare accurate correspondence, records, and reports using correct format, grammar, spelling, and punctuation.
