We're looking for an Appointment Coordinator who thrives on being the first voice patients hear — turning phone calls into scheduled visits, keeping our schedule full and accurate, and making every patient's first impression of Cove a great one.
This role is ideal for someone who is organized, warm on the phone, energized by a busy front desk, and takes pride in a schedule that runs like clockwork.
What You'll DoAs our Appointment Coordinator, you'll own the patient journey from the first phone call to the moment they're seated — and make sure tomorrow's schedule is ready before tomorrow arrives.
Key Responsibilities- Answer inbound calls promptly and warmly, with the goal of scheduling every caller
- Schedule new patients and gather complete intake information on the first call
- Run our appointment confirmation system — automated reminders, confirmation calls, and same-day schedule adjustments
- Fill last-minute openings from our ASAP, recall, and unscheduled treatment lists
- Prepare tomorrow's schedule today: verify insurance, flag balances, confirm records and x-rays are in place
- Manage emergency appointments so patients in pain are seen quickly
- Apply our cancellation and no-show policies with professionalism and consistency
- Greet and check in patients with a calm, hospitality-driven experience
- Keep accurate notes and documentation in the practice management system
- Collaborate closely with doctors, hygienists, and the front office team
- Dental front office experience — scheduling, reception, or patient coordination
- Excellent phone presence and verbal communication
- Highly organized with strong attention to detail and follow-through
- Comfortable juggling calls, walk-ins, and schedule changes without losing warmth
- Professional, friendly, and confident demeanor
- Experience with Open Dental or similar practice management software
- Experience with insurance verification and appointment confirmation systems
- Background running recall, reactivation, or unscheduled treatment lists
