Description:

The Board of Education of the Middlesex County Magnet Schools is currently seeking applications to fill the position of Assistant to the Business Administrator for the  school year.

Position Summary:

Under the direction of the School Business Administrator of Operations, the Assistant to the Business Administrator must meet State Board of Education requirements for certification as a school business administrator. Experience in accounting, equipment and supplies purchasing, payroll administration, office management, data processing, budgeting, and plant operation and maintenance is desirable.

QUALIFICATIONS:

  • Bachelor's degree from an accredited college or university in Accounting, Finance, Business Administration, Public Administration, or a related field.
  • Minimum of three (3) years of progressively responsible experience in accounting, finance, governmental accounting, or a related field. School district experience, highly preferred.
  • NJDOE Certification
    - School Business Administrator (CE or Standard)
  • Experience with New Jersey public school accounting, budgeting, payroll, grants, and financial reporting strongly preferred.
  • Knowledge of GAAP, GASB standards, governmental fund accounting, internal controls, and applicable state and federal financial regulations.
  • Knowledge of the New Jersey Department of Education Chart of Accounts and public school financial reporting requirements preferred.
  • Demonstrated experience with payroll processing, payroll reconciliation, general ledger accounting, financial reporting, and account analysis.
  • Experience managing or monitoring federal, state, and local grants preferred.
  • Strong analytical, organizational, communication, and problem-solving skills.
  • Proficiency with financial management systems, payroll systems, spreadsheets, and related business technology.
  • Ability to maintain confidentiality and exercise sound professional judgment.

Essential Duties and Responsibilities:

The Assistant to the School Business Administrator's specific duties shall include the following:

Budget Management

  • To assist the School Business Administrator of Operations in preparing the annual budget.
  • To assist the School Business Administrator of Operations in budget control in terms of keeping track of expenditures in relation to the budget.
  • To keep the School Business Administrator of Operations informed on budget operations.

Accounting Procedures

  • To assist the School Business Administrator of Operations in controlling the accounting operations of the school system in accordance with state regulations and procedures.
  • To assist the School Business Administrator of Operations in making cost studies.
  • To assist the School Business Administrator of Operations in preparing monthly reports and annual reports, including projections.
  • To assist the School Business Administrator of Operations as needed and/or directed.

Purchasing

  • To assist the School Business Administrator of Operations in all phases of purchasing in accordance with law and Board policy, including requisitions, annual supplies bidding, current order purchasing, writing of specifications for bids, deliveries, storage, etc.

Management

  • To assist the School Business Administrator of Operations in efficient management of the business office.
  • To assist the School Business Administrator of Operations in recommending business office personnel for employment and training.

Payroll

  • To assist the School Business Administrator of Operations in payroll accounting, including preparation of payrolls, reports, and checks, and fringe benefits details such as Blue Cross Blue Shield, Major Medical Insurance, Pension Fund, etc.
