In accordance with the City of East Chicago’s Salary Ordinance, passed by the Common Council
Under the close supervision of the Redevelopment Executive Director and Programs Manager, perform entry-level professional duties of moderate difficulty, providing the opportunity for professional training in the Redevelopment finance division; and perform related duties as assigned.
ESSENTIAL DUTIES AND RESPONSIBILITIESThe statements below are intended to describe the general nature and scope of work being performed by the position. This is not a complete listing of all responsibilities, duties, and/or skills required. Other duties may be assigned.
- Manage and handle all inbound & outbound customer service calls to help manage the City of East Chicago Redevelopment and various departments.
- Assist the department and staff with various projects.
- Manage and handle all incoming and outgoing mail to the mailroom or Post Office.
- Retrieve and scan mail for office distribution.
- Ability to react to change and frequent interruptions productively, and positively productively, and positively, meeting deadlines as assigned.
- Performs clerical work by filing and organizing records and performing receptionist tasks.
- Contributes to the overall Redevelopment function by completing various assigned projects with accuracy and timeliness.
- Provide administrative support to the Executive Director and office staff.
- Must be familiar with and cross-trained in department functions.
- Prepare, compile, and sort documents for data entry.
- Check source documents for accuracy and verify data where necessary.
- Enter data from source documents into a prescribed computer database, files, and forms.
- Check completed work for accuracy; obtain further information for incomplete documents.
- Provide administrative support to staff.
- Maintain office files in a neat and orderly fashion.
- Answer and screen visitors and telephone calls, take messages, and route/handle appropriately.
- Answer telephone inquiries concerning routine department operations, procedures, and/or requirements. Route routine telephone calls and specific inquiries to the proper personnel.
- Attend to the public and deal with public relations problems tactfully and courteously.
- Operates standard office equipment, including a duplicating machine, adding machine, electric typewriter, computer, and other common office machinery.
- Perform other clerical and office duties as directed.

- Knowledge of general office procedures and practices.
- Knowledge of business language, spelling, grammar, and arithmetic.
- Knowledge of Modern office equipment and programs.
- Knowledge in operating computer equipment and general office machines.
- Proficient with Microsoft Word, Excel, PowerPoint, and Outlook.
- Ability to maintain clerical records and prepare reports from such records.
- Ability to deal with the high volume of work and people.
- Ability to plan, initiate, and complete work assignments with a minimum of direction.
- Ability to communicate clearly and concisely, orally and in writing.
- Ability to establish and maintain effective and courteous relationships with other employees, residents, the general public, and other business contacts.
- Ability to multitask.
- Ability to preserve the confidentiality of information.
- Ability to learn the Munis and HUD IDIS dashboard.
- Ability to handle sensitive information while maintaining a high degree of confidentiality.
- Ability to fluently read, speak, write, and comprehend the English language.
