Office Administrator/ Coordinator, Admin Assistant
Pay Range:
In accordance with the City of East Chicago’s Salary Ordinance, passed by the Common Council.
The Parks & Recreation Department is seeking a motivated and detail-oriented Administrative Intern to support daily office operations and community recreation programs. This internship provides valuable hands‑on experience in municipal government, public administration, customer service, event coordination, and office management. The selected candidate will assist department staff with administrative tasks while gaining exposure to the planning and delivery of recreational programs, events, and services.
Essential Duties and Responsibilities- Provide administrative support for department operations and special projects.
- Assist with answering phones, greeting visitors, and responding to public inquiries.
- Maintain and organize department records, files, and databases.
- Assist with registration processes for recreational programs and events.
- Prepare correspondence, reports, spreadsheets, and presentations.
- Support event planning, scheduling, and coordination activities.
- Assist with social media updates, marketing materials, and community outreach efforts.
- Process and track program registrations, facility reservations, and participant information.
- Perform data entry and maintain accurate records.
- Assist staff with special events, community programs, and departmental initiatives.
- Complete other duties as assigned.
- High school diploma or currently enrolled in high school, college, or university.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Ability to maintain confidentiality and professionalism.
- Strong attention to detail and customer service skills.
- High school graduate or equivalent; preferably some college.
- One (1) year of clerical and/or administrative support experience.
- Must possess a valid driver’s license.
- Ability to work independently and as part of a team.
- Ability to prioritize tasks and meet deadlines.
- Strong interpersonal skills and a positive attitude.
- Ability to interact effectively with residents, staff, and community partners.
- Basic understanding of office procedures and administrative practices.
- Ability to sit, stand, and use a computer for extended periods.
- Ability to occasionally lift and carry materials up to 25 pounds.
- Ability to attend indoor and outdoor community events as needed.
- Ability to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination, including the use of a computer keyboard.
- Occasionally lift and/or move up to 50 pounds.
- Environment – Indoor and outdoor recreation environments are subject to noise distractions, seasonal heat, adverse weather conditions, periodic interruptions, and potentially stressful situations.
- Ability to drive to all city departments.
