Purchasing Assistant

• Assist buyers with daily purchasing tasks, including creating, editing, and tracking purchase orders
• Follow up with departments on open orders, special item requests, and delivery timelines
• Resolve distributor-report issues and purchase-order discrepancies
• Maintain accurate supplier and purchasing records in the ERP system
• Review daily Prime Vendor Fill/Kill reports and identify unfulfilled items
• Coordinate alternatives and communicate substitutions with buyers and departments
• Document recurring issues and elevate vendor-performance concerns to leadership
• Monitor inventory exceptions and supply disruptions
• Support end users with ERP web requisition navigation
• Manage product recalls using Inmar and coordinate returns and RMAs
• Provide backup support for Omnicell replenishment activities
• Assist with departmental projects and general office duties
• Prepare standard and ad hoc reports for procurement and inventory initiatives
• Attend team meetings and trainings as required
• Perform other job-related duties as assigned

• High School Diploma or equivalent required
• Minimum of two (2) years of purchasing, inventory management, or supply chain support experience
• Some college preferred
• Experience with ERP systems such as Lawson, Oracle, or similar platforms strongly preferred
• Understanding of healthcare supply chain operations, purchasing, inventory management, and vendor coordination
• Familiarity with ERP platforms for procurement and data entry
• Basic knowledge of product recall processes, including RASMAS, and RMA procedures
• Awareness of capital equipment lifecycle, item master data, procurement compliance, and product support limitations
• Understanding of the Prime Vendor Fill/Kill process and its impact on supply continuity
• Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook
• Analytical and problem-solving skills for investigating order discrepancies and supply chain interruptions
• Communication and interpersonal skills for collaborating with buyers, clinicians, vendors, and system support
• Attention to detail for purchase-order and vendor-information accuracy
• Time management and organizational skills
• Ability to learn and adapt to new systems and workflows quickly
• Ability to support cross-functional needs across purchasing, receiving, and equipment replenishment
• Ability to interpret fill/kill reports and coordinate supply substitutions
• Ability to manage large datasets and support Lean initiatives and special projects with minimal supervision
• Ability to maintain composure and professionalism when addressing urgent procurement or operational issues

Demonstrates expertise in purchasing and inventory management within healthcare supply chain operations, utilizing ERP systems for procurement and data entry. Proficient in managing product recalls and vendor coordination while maintaining accurate records and supporting cross-functional needs.
