Position Summary
Responsibilities/Duties:
- Participate in the development and revisions of program mission, vision, goals, meetings, and ongoing program evaluation activities
- Participate in accreditation activities
- Provides administrative support to department faculty and staff. Organizes and assists with regularized office procedures as required.
- Coordinate with clinical faculty and maintain student clinical rotation schedules, site assignments, elective placements, and related records.
- Facilitate communication with students, faculty, preceptors, and clinical sites regarding clinical education activities and requirements.
- Coordinate clinical placement logistics and maintain records of student placements and clinical opportunities.
- Assist with tracking graduation and program requirements related to clinical education experiences.
- Support orientation, workshops, and educational activities for students and preceptors.
- Coordinate annual and periodic capacity confirmation activities with clinical education partners.
- Maintain affiliation agreements, contracts, and documentation associated with clinical education partners.
- Collect, verify, organize, and maintain credentialing and compliance documentation for students, preceptors, and clinical sites.
- Maintain clinical education databases, electronic records, and reporting systems.
- Assist with examinations, assessments, certification activities, and distribution of results.
- Coordinate collection of evaluations, surveys, and feedback data supporting program assessment and accreditation activities.
- Participate in accreditation activities and assist with accreditation reporting and documentation.
- Track renewals and compliance requirements associated with affiliation agreements and contracts.
- Maintain required documentation for external partners, including licensure, certifications, curriculum vitae, provider identification information, and related records.
- Assist faculty with course administration, educational materials, learning management system content, and curriculum-related communications.
- Reserve instructional space and coordinate course logistics as needed.
- Proctor examinations and maintain exam security procedures.
- Develop, update, and maintain educational materials, program resources, handbooks, and related documentation.
- Support curriculum data collection, tracking, and reporting activities.
- Support academic programs through curriculum data management, analysis, and reporting activities.
- Prepare, compile, and distribute reports, correspondence, meeting materials, evaluations, and other program documentation.
- Coordinate meeting schedules, agendas, minutes, and follow-up activities.
- Assist with annual reporting, accreditation documentation, and program evaluation processes.
- Support departmental operations, strategic initiatives, and special projects.
- Participate in development and revision of program mission, vision, goals, and ongoing program evaluation activities.
- Assist with invoicing, financial tracking, and administrative processes related to clinical education operations.
- Coordinate annual and periodic evaluation and feedback processes for clinical education partners, students, and preceptors.
- Participate in departmental, college, and university events.
- Provide cross-functional support to departmental staff and faculty.
- Perform additional duties as assigned in support of program and departmental objectives.
Knowledge equivalent to that which normally would be acquired by completing a bachelor's degree in education, healthcare administration, business administration, human resources, public health, human resources, higher education administration, or a related field; or an equivalent combination of education & experience. Six months to one year of related and progressively more responsible or expansive work experience and knowledge in program coordination, administrative support, educational administration, healthcare operations, or a related area.
DesiredQualifications
- One to three years of related & progressively responsible experience in program coordination, administrative support, educational administration, healthcare operations, or a related area.
- Experience using word processing, spreadsheet, database, scheduling, and electronic records management systems.
- Demonstrated ability to coordinate multiple projects and maintain accurate records and meet deadlines.
- Proficiency with Microsoft Office 365 applications, including Word, Excel, Outlook, and Teams.
- Strong interpersonal abilities with excellent verbal and written communication skills to effectively communicate with students, staff, faculty, administrators, and the public.
