Position Summary
The College of Nursing is seeking an Academic Affairs Executive Secretary. Reporting to the Associate Dean for Academic Affairs, the Secretary will provide support in all aspects of the Academic Affairs unit, including supporting the Associate Dean and managing the nursing curriculum system. The role requires strong organizational skills, extreme attention to detail, and the ability to multi‑task in a fast‑paced environment with frequent interruptions.
The position handles information with strict confidentiality and functions independently with little supervision. Working hours are Monday through Friday, 8 a.m.–5 p.m.
- Manage and maintain the Associate Dean’s complex calendar, scheduling, rescheduling, and canceling meetings and conferences.
- Coordinate travel and handle travel reimbursements for the Associate Dean.
- Create, maintain and archive an accurate filing system (electronic and physical) for the Associate Dean.
- Assist the Associate Dean with faculty reviews.
- Collect, compile, and interpret data from internal and external sources to produce reports for university, public, and private stakeholders.
- Ensure correct major codes on courses and sections and communicate these for revenue‑based initiatives and other budget items.
- Enter on‑ and off‑campus course schedules into the Student Information System (SIS).
- Update pertinent information in the SIS.
- Maintain an accurate master course schedule, including updates to courses, sections, enrollment, etc.
- Communicate regularly with College leadership, faculty, OSA, and RO to keep the schedule current and available to the college.
- Act as a liaison between the CON, UCC, and AACC regarding curricular matters, changes, and provide recommendations on policies and procedures.
High‑school education with coursework in word processing, typing, shorthand, and grammar; five to eight years of progressively responsible experience in maintaining account ledgers, word processing, editing, correspondence, dictation, spreadsheets, databases, desktop publishing, and/or presentation software; or an equivalent combination of education and experience.
Desired QualificationsAssociate’s degree or equivalent; six months to one year of related experience in word processing, databases, spreadsheets, presentation software, web page software, office procedures, and proficiency with Microsoft Office including Outlook. Ability to work independently, strong organizational skills, detail orientation, and ability to multi‑task in a fast‑paced environment. Advanced experience with Microsoft Office including Word, Excel, PowerPoint, Access, Outlook, calendaring, CLIFMS, and database management.
Excellent written and verbal communication, website content management, proofreading, customer service, and event planning experience. Bachelor's degree in business or related field highly desired. Experience in higher education highly desired.
