The Administrative Clerk is the primary support position for all department staff and the Director. The role is responsible for managing the department’s website, social media, and e‑newsletter communications with the community. It also supports programs and events by assisting the Outreach Coordinator and the Volunteer Coordinator with creating advertisements, flyers, and promotional materials, ordering supplies, and helping to set up and sometimes run programs and events.
PrimaryEssential Functions
- Provide customer service in person, by phone, by email, and by other means as necessary.
- Monitor and assist office volunteers.
- Support the Outreach Coordinator and the Volunteer Coordinator in planning and preparing for programs and events as needed.
- Assist the COA Administrative Assistant in preparing daily Meals on Wheels head counts and delivery lists for the next day.
- Manage and maintain the COA’s presence on the town website and social media venues.
- Create flyers and advertisements for various programs and events held by the department.
- Create and circulate the weekly e‑newsletter.
- Prepare and process sign‑up sheets for various programs.
- Enter monthly events and statistics into the My Senior Center database.
- Perform clerical support work for the Director and staff, including correspondence, notes, notices, memos, agendas, reports, or other similar materials.
- Provide assistance to town residents, answering questions and responding to inquiries pertaining to programs and services.
- Obtain appropriate information from and enroll clients in various programs provided by the department.
- Collect and post program fees.
- Seek and prepare proposals for small department projects.
- Perform research projects utilizing Google and other search engines.
- Assist in maintaining the dignity closet.
- Perform similar or related work as required and assigned by the COA Director.
Position is a mandatory reporter. As such, the employee in this position is responsible for reporting any suspicions of elder neglect or abuse.
Education and Experience- High School diploma or equivalent.
- One (1) to three (3) years of clerical experience.
- Municipal experience preferred.
- Specific Council on Aging/Senior Center experience highly preferred.
- Proficient in Microsoft Office and Google Suite.
