Summary

We are seeking a motivated and detail-oriented Assistant Project Manager to join our team. The successful candidate will assist in the planning, coordination, and execution of mechanical contracting projects, ensuring they are completed on time, within budget, and to the highest standards of quality.

Key Responsibilities
  • Assist the Project Manager in all phases of project management, including planning, scheduling, budgeting, and execution.
  • Coordinate with subcontractors, suppliers, and other stakeholders to ensure timely delivery of materials and services.
  • Monitor project progress and provide regular updates to the Project Manager and clients. Act as the eyes and ears of the project for the Project Management Team. Upload project photos and document findings.
  • Prepare Subcontract and Purchase Order commitment setups. Review project documentation and prepare accurate scope of work for these commitments.
  • Manage project Submittal, RFI, and Drawing Logs. Ensure that Field Staff always have the most current project files, both physical and electronic versions.
  • Track project installation progress and enter tracking status updates. Review percentages complete for installation and communicate with Project Manager and Superintendent.
  • Maintain project labor tracking charts and consult with Project Manager on forward looking updates.
  • Review and understand project drawing, specification, schedule, and contract requirements.
  • Assist Project Manager with identification, pricing, and tracking of Change Order proposals and budget adjustments.
  • Conduct site visits to ensure compliance with project specifications, safety standards, and quality requirements.
  • Assist in resolving any issues or conflicts that arise during the project lifecycle.
  • Support the Project Manager in managing project budgets, understand cost codes, and assist field Superintendent with labor coding.
  • Develop agendas and supporting documents for project meetings. Participate in project meetings and provide input on project planning and execution.
  • Collaborate closely with field staff to ensure project milestones are met and work is performed according to specifications.
  • Provide guidance and support to field staff, addressing any concerns or issues that may arise on-site.
  • Quantify and procure miscellaneous materials such as pipe identification, valve tags, specialty valves, devices, etc.
  • Review and inventory equipment deliveries. Check for compliance with submittals and packing lists.
  • Prepare and submit all project closeout documents such as O&M Manuals, Test Reports, Valve Tag Lists, As-Built Drawings, etc.
  • Demonstrate honesty, transparency, and ethical conduct in all interactions.
  • Ability to work collaboratively in a team environment.
  • Communicate clearly, proactively, and respectfully with all project stakeholders.
  • Strong problem‑solving skills and attention to detail.
  • Self‑motivated with ability to identify, manage, and prioritize work tasks.

Qualifications
  • Bachelor’s degree in Mechanical Engineering, Construction Management, or a related field.
  • 0-5 years of experience in project management or a related role in the mechanical contracting or commercial/civil/industrial construction industry.
  • Strong organizational and time management skills.
  • Excellent writing, communication, and interpersonal skills.
  • Proficiency in project management software and tools, including:
  • Microsoft Office
  • Microsoft Project
  • Procore
  • Show basic knowledge or interest to learn mechanical systems, HVAC, plumbing, and piping.
