Overview

Position Title: Human Resources Assistant

Reports To: Human Resources Manager Department

Broad Function: Support the daily functions of the Human Resource (HR) department including hiring and interviewing staff, benefits, and leave, and enforcing company policies and practices.

  • Specific Responsibilities
    • Coordinates onboarding and new hire orientation, verifies background checks, I-9 documents, driver licenses, professional licenses, and other employment requirements.
    • Handles employment-related inquiries from applicants, employees, and supervisors, referring complex matters to appropriate staff.
    • Maintains compliance with federal, state, and local employment laws and regulations; reviews policies to maintain compliance.
    • Maintains knowledge of HR trends, best practices, regulatory changes, and new technologies, including HRIS and Online Training systems.
    • Supports agency training as assigned by the Human Resources Manager.
    • Supports various employee benefits programs and assists with benefit reporting requirements.
    • Supports benefits orientations and explains benefits self-service system.
    • Maintains employee benefits filing systems and ensures benefits changes are entered in payroll system for deductions.
    • Coordinates workers  compensation claims with third-party administrator and follows up on claims.
    • Monitors compliance for mandatory trainings and verifies degrees, certifications and licenses.
    • Ensures distribution of required employment regulatory notices and other important staff communication.
    • Maintains biweekly employee reports and ensures paid time off calculations are accurate.
    • Supports audits coordinating with Finance and Programs under direction from HR Manager.
    • Supports recruitment process when needed, including posting, prescreening, and interviewing; collaborates with Talent Management Coordinator to understand required skills and competencies.
