CLASS DESCRIPTION Under the general direction of the Superintendent of Schools and the School Committee, performs a wide range of duties contributing to the efficient operation of the office of the Superintendent including confidential correspondence, appointments, calendar, policies, response to staff and community inquiries and requests, reports and notices.
ESSENTIAL DUTIES AND RESPONSIBILITIES (Administrative Asst. to Superintendent) Meet and interact with the public and employees in a courteous and confidential manner. Confers with Superintendent of Schools concerning district issues. Responds under the direction of the Superintendent to requests, suggestions and comments from staff, parents, students and the East Providence community. Assures all copies of the School District Policy Manual are up to date.
Attends meetings as requested by the Superintendent of Schools. Requisition s and maintains supplies for the office of the Superintendent in accordance with budgetary constraints. Maintains a schedule of appointments and arranges for conferences and interviews as needed for the Superintendent. Obtain, organize and maintain data as needed for the Superintendent. Responds to daily incoming correspondence as directed by the Superintendent.
Maintain annual school calendar including number of student attendance days, start dates for students and staff, holidays, professional development days, school vacations, report card distribution, graduation and school ending dates. Arrange details and agenda of monthly Administrative Council meetings at the direction of the Superintendent. Prepare correspondence as requested by the Superintendent Work and coordinate with Central Office Administrators on a variety of district issues.
Other duties and responsibilities as required by the Superintendent of Schools.
ESSENTIAL DUTIES AND RESPONSIBILITIES (Administrative Asst. to School Committee) Prepare together with the Superintendent and the School Committee Chairman an agenda setting forth all known items of business to be considered at each School Committee meeting. Posts and advertises agendas for all School Committee meetings as required by the Open Meetings Act (OMA) law. Attend all School Committee meetings, records transcribes, maintains, develops and post minutes of all meetings.
Attend all Building Committee meetings, records transcribes, maintains, develops and post minutes of all meetings. Develops electronic or paper packets containing all pertinent data for each School Committee member. Maintain confidential School Committee district files, sealed or open as required, of all School Committee activities. Compose letters and correspondence as needed by the School Committee members. Opens and distributes all School Committee mail and correspondence.
Responds to requests for School Committee members and provides assistance as needed. Develop minutes for all sub-committee meetings (i.e., building committee) Other duties and responsibilities as required by the East Providence School Committee.
KNOWLEDGE, SKILLS AND ABILITIES:
Ability to handle confidential and sensitive information. Ability to proficiently operate office technology and equipment (e.g. computer systems, fax, copier, etc.) Ability to learn and proficiently use various school-related systems and databases. Ability to multitask and prioritize work to meet deadlines. Ability to communicate effectively both verbal and written. Ability to proficiently use computer programs such as, but not limited to, Word and Excel, Power Point, etc.
Ability to work effectively with district personnel, administrators, staff, parents, and the general public. Ability to handle difficult in-person situations and telephone inquiries which require courtesy, tact, and professionalism.
