The ECEAP Administrative Coordinator provides administrative and clerical support to the ECEAP Center Management Team. The Administrative Coordinator will assist the Center Manager with the leadership of site activities and will directly supervise the cooks and custodians at the East Wenatchee ECEAP Center. The Admin Coordinator will assist with training documentation, maintain site files and coordinate the USDA and Human Resources functions as it relates to training.
Responsibilities- Serve as the first point of contact by providing courteous, professional customer service to families, staff, and community members in person and by phone.
- Provide administrative and office support, including mail handling, copier projects, communications, office supply ordering, and reception coverage as needed.
- Support the Center Manager with daily operations, staff supervision, and site leadership; serve as the site supervisor in the Manager's absence.
- Assist ECEAP Center Managers with program operations, special projects, and center-related needs.
- Coordinate and support parent meetings, family engagement events, staff meetings, and staff training.
- Assist with new hire orientation and track employee training records in collaboration with Human Resources.
- Support program monitoring, self-assessment activities, and follow-up to ensure compliance with ECEAP, licensing, and agency standards.
- Coordinate translation and interpretation services to support families and staff.
- Prepare parent communications, handbooks, announcements, and mailings.
- Maintain visitor sign-in records and update emergency communication systems, including school closure notifications.
- Demonstrate strong organizational skills by effectively managing multiple priorities and adapting to changing needs.
- Maintain strict confidentiality while fostering respectful, positive relationships with children, families, staff, and community partners.
- Promote a collaborative, team-oriented work environment through effective communication and responsive customer service.

- Perform other duties and special projects as assigned to support the success of the program.
Work requires daily standing, sitting, walking, stooping, kneeling, lifting, twisting, turning, pushing, pulling, speaking, hearing, seeing and the ability to articulate clearly; use of hands to finger, bending and reaching. Ability to feel or operate objects and equipment; reach with hands and arms. Ability to work with personal computer for long periods of time. Some travel to and from main office and training sites.

- Pre-employment drug screen, TB skin test by an EPIC approved healthcare provider at no cost to the employee.
- Pre-employment basic physical by an EPIC healthcare provider (obtain within 30 days of employment and no cost to the employee).
- Must pass an initial and periodic background check through the Washington State Department of Children, Youth & Families (DCYF) in Merit.
- Provide proof of MMR vaccination and/or resistance to measles, mumps & rubella.
- Current Food Handler's card.
- Current First Aid/CPR card.
- Prior to first day complete Health & Safety Training certificates through DCYF student training portal.
- Complete Childcare Basics 30 hours STARS training within 3 months of hire.
- Meet the minimum education requirements within the timeframe as stated in the performance standards.
- HS/GED.
- 2 years of administrative office and/or HR experience.
- Computer proficiency, including knowledge & experience with HR software. Ability to collect & compile data, analyze information and prepare recommendations.
- Ability to establish and maintain effective working relationships with employees, managers and general public.
- Excellent oral & written communications skills.
- Maintains confidentiality of sensitive information and records.
- Ability to work independently and cooperatively as a member of a team with high priority on the provision of quality services to multiple EPIC sites.
- Ability to organize and prioritize work.
- Bilingual (English/Spanish) required.
- Valid Washington State Driver's license, own transportation and required auto insurance.
