Overview

Northeast Center for Youth & Families, Inc. (NCYF) is seeking an Administrative Specialist to direct coordination and oversight of the administrative and reception duties within the Agency. The Administrative Specialist is responsible for ensuring and monitoring that initiatives and deadlines are met both internally and externally, and will manage coordination and oversight of projects as assigned.

Responsibilities
  • Direct coordination and oversight of the administrative and reception duties within the Agency; ensure and monitor that initiatives and deadlines are met internally and externally; manage coordination and oversight of projects as assigned.
  • Use interpersonal skills to enable, empower, and oversee the Administrative Assistants/Receptionists to complete assignments and handle a broad range of sensitive situations and diverse personalities.
  • Establish and promote positive communication and teamwork; exercise judgment and discretion in day-to-day activities; oversee, supervise, evaluate, and train, and provide backup coverage as needed.
  • Assist Program Directors with preparation of license renewals, inspections, and state/city reporting; create and distribute needed reports to leadership and staff; perform administrative duties such as composing/editing complex documents, filing, copying, data entry, typing letters, and creating forms and tracking systems.
  • Work in a fast-paced environment with interruptions, changes, and multiple priorities while managing projects with accountability for results.
  • Perform other tasks and assume responsibilities assigned by Leadership Team as needed.
Qualifications

Must have a minimum of a Bachelor’s Degree, or 5+ years related experience and/or training; or equivalent combination of education and experience.

To perform this job successfully, an individual should have knowledge of:
Word Processing, Excel Spreadsheets, Databases, Internet Software, and Email; must be able to read as well as analyze & interpret information, reports, and documents.

Ability to reason and solve practical problems, deal with variety of concrete variables and interpret instructions.

A successful candidate must have strong organizational skills and be detail-oriented, have the ability to analyze and interpret complex materials, and have excellent communication and time management skills.
