Position: Administrative Assistant to the Director of Facilities

The Williston Northampton School, an independent coeducational boarding and day school located in Easthampton, MA, has a full‑time, calendar‑year opening for an Administrative Assistant to the Director of Facilities. The schedule for the position is Monday through Friday 40 hours per week. Occasional special event coverage as necessary. Actual hours assigned per the needs of the department.

Responsibilities
  • Serve as the primary point of contact for the Facilities Department and for scheduling campus facilities.
  • Assist with scheduling routine maintenance and projects.
  • Provide support and assistance to Facilities supervisors and staff.
  • Provide detailed instructions to Facilities staff regarding setup for special functions and events.
  • Oversee the Facilities Department Budget in conjunction with the Director of Facilities.
  • Coordinate interviews and new hires with the HR Office.
  • Perform routine office duties.
Qualifications
  • Three to five years of administrative assistant experience, preferably in an educational or non‑profit setting.
  • Ability to work intuitively and independently as well as part of a team.
  • Strong organizational skills for multitasking and prioritizing responsibilities in a fast‑paced environment.
  • Ability to understand written and oral instruction.
  • Demonstrated written, interpersonal, and communication skills to interact with diverse staff, faculty, students, and other constituents.
  • Proficiency with Microsoft Office Suite, especially Excel and Word.
  • Must pass mandatory CORI, SORI, and fingerprint‑based background checks for a secondary boarding school atmosphere.
  • Must possess a valid driver’s license.
