Description We are looking for an Administrative Coordinator to support daily office operations in Massachusetts. This contract opportunity with potential for a permanent role is ideal for someone who enjoys keeping schedules organized, managing communications, and handling detailed administrative tasks across multiple business functions. The position offers a steady Monday through Friday schedule and works closely with teams supporting administration and accounting activities.

Responsibilities:

- Manage incoming client calls, respond professionally to inquiries, and direct requests to the appropriate team members.

- Coordinate and maintain appointment schedules to help ensure timely service and efficient daily operations.

- Prepare, organize, and submit permit-related documentation while keeping records accurate and up to date.

- Provide administrative support for accounting and operational functions, including document handling and routine office tasks.

- Enter, update, and maintain information in internal systems and spreadsheets with a high level of accuracy.

- Assist with general clerical duties such as filing, correspondence, and record management to support office efficiency.

- Use Microsoft Office applications and internal data systems to track information, prepare documents, and support departmental workflows. Requirements - Experience in an administrative, coordination, or office support role.

- Strong ability to handle inbound calls and communicate professionally with clients and internal staff.

- Proven skill in scheduling, calendar coordination, and managing multiple priorities.

- Familiarity with permit processing, document filing, or related administrative recordkeeping.

- Working knowledge of Microsoft Office Suite, including Outlook, Word, and Excel.

- Construction industry exposure is preferred, particularly in environments involving service or trade operations.

- Basic accounting knowledge or experience supporting accounting-related administrative tasks is preferred.
