Position Summary
This position provides administrative, operational, and programmatic support for the Academic Advising Office while interacting regularly with students, faculty, and staff. The successful candidate will manage daily office operations, support the student employee hiring and payroll processes, and ensure the accuracy and timeliness of routine and specialized projects. This role is essential to supporting the smooth functioning of Academic Advising and maintaining a welcoming, student-centered environment.
The Academic Advising team is a part of the Navigation Center for Student Success at Stonehill College. Comprised of five offices (Advising, Accessibility, Career, Global, & Tutoring), the Navigation Center works collaboratively with faculty, staff, and students to accomplish mission-driven goals. The team devotes attention to the inclusive nature of the Stonehill community and celebrates diversity and promotes equity and inclusion in all its endeavors.
Essential Duties and Responsibilities
* Schedule and maintain all appointments and meetings for Advising staff, fielding current and prospective student concerns and questions via telephone, email, and in-person.
* Manage and organize departmental inbox, responding to student, faculty, and staff messages as needed.
* Process and distribute college and course withdrawal materials, working closely with Student Affairs, Registrar's Office, Financial Aid, & Residence Life, to ensure withdrawals are processed accurately and in a timely manner.
* With the Assistant Director of Advising & Administration, support the academic readmission process, confirming student eligibility, connecting with Student Affairs, Community Standards, Registrar's Office, Financial Aid, & Residence Life to ensure student materials are processed accurately and in a timely manner.
* Support the work of the Academic Review Board (ARB) & Standards and Standing (S&S), processing all letters of dismissal, separation, warning, etc.; collecting letters of appeal and preparing all documentation for the Standards & Standing committee
* Oversee record retention processes for the office, working with General Counsel to ensure appropriate document maintenance.
* Hire, train, and supervise work-study students to help ensure office coverage at peak times of the year.
* Maintain and manage budget records and handle ordering for the departmental budget.
* Other duties as assigned.
Education and/or Experience
Required
* 5+ years of administrative assistant, office management, or equivalent experience.
* Proficiency with Microsoft Office Suite and comfort learning new software systems.
* Ability to communicate effectively with students, faculty, and staff.
* Strong organizational skills, attention to detail, and ability to manage multiple priorities.
* Demonstrated commitment to confidentiality and discretion.
* Demonstrated commitment to working with students from historically underrepresented communities, including first-generation and BIPOC college students.
Preferred
* Experience working in a higher-education, tutoring, accessibility, or academic support environment.
* Familiarity with systems such as Slate, People Admin, Live
25, Canva, MyHill, Banner, or similar platforms.
Preferred Qualifications Knowledge, Skills, and Abilities Physical Demands
While performing the duties of this Job, the employee is regularly required to talk or hear. The employee is frequently required to walk, sit, and use their hands to finger, handle, or feel. The employee is occasionally required to stand and reach with hands and arms.
Work Environment
While performing the duties of this job, the employee is occasionally exposed to outside weather conditions. The noise level in the work environment is usually quiet.
