At Northampton Post Acute, we believe that accurate financial processes and organized administrative support are essential to exceptional resident-centered care. Guided by our core values of Passion, Respect, and Excellence, the Business Office Manager Assistant supports the facility’s daily financial and business office operations.

Responsibilities for Business Office Manager Assistant:

  • Process accounts payable invoices, check requests, ancillary charges, and check-printing requests.

  • Maintain petty cash and submit monthly reimbursement requests.

  • Assist with therapy billing and benefits verification.

  • Review the daily census and update census information in Point Click Care , RFMS, and Excel.

  • Review state notifications and communicate necessary updates to the Business Office Manager.

  • Deposit accounts receivable checks and submit required reports to the corporate office.

  • Manage PNA deposits, withdrawals, petty cash, statements, checks, account closures, and required documentation.

  • Assist with PNA reviews during state surveys.

  • Assist with Medicaid applications, financial questionnaires, tracking, submission, and confirmation of receipt.

  • Complete required census and financial reports, including the quarterly RIHCA census report.

  • Order office supplies, copier paper, printer cartridges, and Physician Suite supplies.

  • Sort facility mail and provide reception desk coverage as needed.

  • Perform other duties and special projects as assigned.

Qualifications for Business Office Manager Assistant:

  • Previous Medicaid application, eligibility, healthcare billing, or business office experience strongly preferred.

  • Experience in a skilled nursing or long-term care setting is preferred.

  • Knowledge of Medicaid-pending processes, required documentation, and eligibility follow-up is preferred.

  • Basic computer skills, including email, spreadsheets, and data entry.

  • Experience with Point Click Care , RFMS, or similar healthcare software is preferred.

  • Strong organizational, time-management, and communication skills.

  • Excellent attention to detail and commitment to accuracy.

  • Ability to work independently and collaboratively as part of a team.

  • Ability to maintain the confidentiality of resident, employee, and financial information.
