Position: Executive Assistant

Location: Eatontown, NJ

Employment Type: Full-time

Compensation: 75-85k

Overview

The Executive Assistant will provide high-level administrative and operational support to the CEO, ensuring smooth execution of portfolio-wide initiatives. This role combines executive support with operational oversight, including compliance, insurance, and marketing coordination. The position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. Must be legally authorized to work in the United States.

Responsibilities
  • Serve as primary administrative and operations support to the CEO for portfolio-wide initiatives
  • Manage the CEO’s operational calendar for licensing, insurance, compliance, and reporting deadlines
  • Prepare executive-level reports, dashboards, and presentations on operations, risk, and compliance
  • Maintain organized CEO digital files in SharePoint, including approvals, contracts, and records
  • Act as liaison between the CEO and internal/external marketing teams to coordinate campaigns and deliverables
  • Track property, corporate, and professional licenses, ensuring timely renewals and compliance
  • Monitor insurance policies, coverage, expirations, and assist with bidding and claims reporting
  • Coordinate tenant communications requiring CEO review and support property transitions
  • Develop tracking tools for licensing, insurance, inspections, and operational metrics
  • Ensure data integrity across Avid, MRI, SharePoint, and Excel for accurate reporting
Required Experience/Skills
  • Proven experience as an Executive Assistant or in a similar executive support role
  • Strong organizational and time management skills with the ability to prioritize effectively
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and Share Point
  • Experience handling sensitive and confidential information with discretion
  • Ability to create and maintain reports, dashboards, and presentations for executive review
  • Excellent written and verbal communication skills
Preferred Experience /Skills
  • Background in commercial real estate operations or related industry
  • Familiarity with compliance, licensing, and insurance processes
  • Experience coordinating marketing initiatives and managing vendor relationships
  • Knowledge of Avid and MRI systems
  • Strong analytical skills for tracking KPIs and operational metrics
Education Requirements
  • Bachelor’s degree in Business Administration, Real Estate, or related field preferred
  • Equivalent combination of education and experience will be considered
  • Continuing education in operations, compliance, or risk management is a plus
