Assistant Collections Services

Do you enjoy helping things run smoothly behind the scenes? We are seeking a detail-oriented and organized individual to join our Collections Services team. In this role, you will process, mend, and prepare library materials for circulation, help maintain inventory and collection records, coordinate library mail, packages and supplies, assist with collection management projects, train and provide direction to library pages and clerks, and collaborate with library staff and vendors to resolve questions.

We're looking for someone who is highly organized and detail-oriented, is comfortable with computers and technology, can manage multiple tasks and priorities, works independently while collaborating with others, and communicates professionally with staff, vendors, and the public. Library experience is a plus, but we welcome candidates with strong organizational, clerical, administrative, or inventory management experience. This is a part-time, non-exempt position, averaging 19hrs/week.

Starting rate of pay is $20.33/hour. Hours for the position are flexible but morning availability is preferred.

Nonexempt SUMMARY Under general supervision, this position exists to perform technical, organizational, and clerical tasks that maintain the efficient flow of materials through Collection Services.

EDUCATION/EXPERIENCE/TESTING REQUIREMENTS High school graduate or equivalent is required. General computer experience is required. Library experience preferred.

QUALIFICATIONS The requirements listed below are representative of the qualities, knowledge, skill, and/or ability required to perform the essential functions of the job.

  • Ability to efficiently use a variety of office and library applications and equipment.
  • Ability to work accurately and efficiently with attention to detail.
  • Ability and initiative to apply organizational, prioritization, and time management skills to determine the best methods and procedures to complete assignments with minimal direction.
  • Ability to use independent judgement to resolve problems within the scope of assigned duties and adjust own work assignments as necessary.
  • Ability to establish and maintain positive working relationships with staff, vendors, and the public.

ESSENTIAL FUNCTIONS The following are the regular duties for this position. These duties are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.   • Organizes workflow processes to achieve consistent and efficient flow of materials through the department.
  • Uses office and library software and equipment to perform job functions or other tasks as assigned.
  • Ensures that library materials are prepared for and withdrawn from the collection accurately, according to departmental procedures and standards, and in a timely manner.
  • Assists with the acquisition of library materials and reconciliation of department and collection budgets.
  • Ensures that materials sent to Technical Service for repair or evaluation are assessed and treated according to departmental procedures and standards.
  • Oversees the sending, receiving, and distribution of library mail and packages.
  • Manages the maintenance, inventory, and organization of Collections Services supplies and equipment and assists with their purchasing.
  • Ensures that the library collection is inventoried on a regular rotating basis and performs any needed follow-up.
  • Assigns work to pages and clerks, assists in training of new staff and volunteers, and provides feedback to manager regarding performance of pages and clerks.
  • Assists with departments collection management tasks.
  • Communicates effectively and professionally with coworkers, other library divisions, MORE libraries, vendors, and other entities via phone, email, or letter to resolve and answer questions.
  • Maintains procedural documentation for major duties performed and procedures overseen. Assists in communicating and facilitating task, procedure, and/or policy changes to pages and clerks.
  • Assists with Collections Services workflow processes at any level when need arises to enable the completion of daily duties, assigned tasks, or special projects.
  • Participates in relevant training, continuing education, and/or staff development.
  • Maintains prompt, predictable, and regular physical attendance.
