Job Description

We are seeking a highly organized and proactive Team Operations Lead to help drive the effectiveness, alignment, and execution of a dynamic team focused on delivering data, design, and solutions that support how the organization works.

In this role, you will serve as an operational partner to team leaders, helping translate strategic priorities into actionable plans, coordinated workflows, and measurable outcomes. You will oversee team operations, communications, meeting management, onboarding support, and execution tracking while ensuring the team operates with clarity, consistency, and accountability.

This position is ideal for someone who enjoys creating structure, improving processes, coordinating complex initiatives, and enabling leaders and teams to perform at their best.

What You'll Do
  • Support the implementation of leadership priorities by translating strategic direction into actionable plans, timelines, and ownership structures.
  • Monitor progress against key initiatives and ensure priorities remain on track.
  • Identify operational gaps, risks, and process inefficiencies and develop solutions that improve team effectiveness.
  • Drive accountability and follow-through across team commitments and deliverables.
  • Partner with team leaders to support key meetings, presentations, deliverables, and decision-making activities.
  • Anticipate team needs and proactively remove operational obstacles.
  • Coordinate onboarding activities for new team members, including resources, introductions, team materials, and integration into team processes and routines.
  • Help leaders stay organized, prepared, and focused on strategic priorities.
Team Operations & Meeting Management
  • Manage team meeting logistics from planning through follow-up.
  • Develop agendas, prepare supporting materials, and coordinate meeting facilitation.
  • Establish and maintain meeting governance, including cadence, structure, action-item tracking, and decision documentation.
  • Capture key decisions, risks, and action items and ensure timely follow-up and visibility.
Communications & Team Alignment
  • Manage internal communications, including leadership updates, team announcements, recaps, and ongoing information sharing.
  • Maintain and optimize communication platforms and collaboration tools, including SharePoint, Slack, distribution lists, and team information repositories.
  • Ensure messaging is clear, consistent, and effectively communicated across teams and stakeholders.
  • Serve as a central coordination point for team communications and operational updates.
Program & Project Coordination
  • Coordinate activities across strategic initiatives, milestones, dependencies, and deliverables.
  • Maintain project plans, status updates, action logs, and progress reports.
  • Identify risks, barriers, and areas requiring escalation.
  • Collaborate with cross-functional partners to align priorities and maintain project momentum.
Required Qualifications
  • Strong operational, organizational, and administrative management experience.
  • Excellent written and verbal communication skills.
  • Experience supporting leadership teams, business operations, or program management functions.
  • Proven ability to manage multiple priorities and competing deadlines in a fast-paced environment.
  • Strong attention to detail and commitment to delivering high‑quality work.
  • Experience coordinating meetings, agendas, follow‑up actions, and executive‑level communications.
  • Ability to work independently and exercise sound judgment.
  • Strong stakeholder management and relationship‑building skills.
Preferred Qualifications
  • Experience supporting strategic planning and execution initiatives.
  • Experience with onboarding programs and team enablement activities.
  • Experience managing internal communications and collaboration channels.
  • Experience creating presentations, leadership materials, and visual communications.
  • Exposure to project management methodologies and tools.
  • Experience working within cross‑functional or matrixed organizations.
