About the RoleOur firm is seeking an Executive Assistant on behalf of a client in the financial services and wealth management industry. This role supports senior leadership, enhances client experience, and ensures smooth daily operations in a high trust, relationship driven environment. The ideal candidate brings warmth, professionalism, and exceptional attention to detail while thriving in a dynamic atmosphere.
Job DescriptionYou will support executive leadership, manage client appointments, maintain office operations, and oversee client facing interactions. This position requires strong communication skills, a joyful and professional presence, and the ability to handle both routine and fast paced responsibilities.
Key Responsibilities Administrative and Operational Support- Manage calendars and scheduling
- Schedule and confirm client appointments
- Prepare APR summaries and coordinate APR review meetings
- Submit and track expenses
- Welcome visitors and maintain a polished, professional office environment
- Clearly explain processes and next steps to clients
- Manage and update CRM (Red Tail)
- Assist with E-apps and related paperwork
- Support workshop and event logistics
- Respond to general client inquiries or direct them to the appropriate team member
- Take on hybrid administrative and operational responsibilities
- Maintain office operations while working independently
- Thrives in a non-structured, dynamic environment
- Strong written and verbal communication skills with zero to minimal errors
- High accuracy and strong attention to detail
- Warm, joyful, professional presence
- Resilient and not easily overwhelmed
- Poised, confident, and maintains professionalism at all times
- Willing to assist with any task—big or small
- Excellent prioritization and organizational skills
- Able to work independently, including being the only person in the office when needed

- Comfortable navigating a learning curve and asking thoughtful, clarifying questions
