We are seeking a Sample Operations Coordinator to join our growing team in Eden Prairie, MN!

We are looking for a highly organized, detail-oriented Sample Operations Coordinator to take ownership of sample management and our on-site inventory warehouse. This position will play an important role in keeping products, samples, and materials moving efficiently across our organization and ensuring our internal teams and retail partners have what they need, when they need it.
The ideal candidate is proactive, resourceful, and comfortable working in a fast-paced environment. You will be someone who enjoys taking ownership, solving problems, improving processes, and bringing structure and organization to a growing operation.
Key Responsibilities:Sample & Inventory Operations
- Manage the receipt, organization, tracking, and distribution of inbound and outbound product samples.
- Maintain accurate sample inventory records by organizing, counting, and tracking all incoming and outgoing products in our internal database, while continuously identifying opportunities to improve inventory organization, accuracy, and operational efficiency.
- Monitor inventory levels to ensure adequate stock and proactively identify replenishment needs.
- Ensure samples and products are stored safely, efficiently, and in an organized manner within the on-site warehouse.
- Fulfill sample requests for internal teams, customers, retailers, and other business partners.
- Create and send purchase orders for new samples and sample replenishment.
- Track purchase orders from submission through delivery, maintaining visibility into timelines and proactively communicating updates or issues.
- Coordinate sample-related purchasing, shipping, and logistics.
- Work directly with vendors, suppliers, and carriers to resolve delivery delays, inaccuracies, or shipment issues.
- Ensure samples and materials arrive on time to support internal business needs and customer requirements.
- Partner cross-functionally with Product Development, Sales, Sourcing, Marketing, and other teams to support business needs.
- Help establish, document, and improve processes as the company continues to scale.
- Take initiative in identifying operational challenges and developing practical solutions.
- Manage multiple priorities and deadlines while maintaining accuracy and attention to detail.
