Contracts Coordinator
The Contracts Coordinator is responsible for the accurate administration of service contract activities within the Service department. This role enters and maintains service contracts in SAP, prepares contract quotes, and reviews customer account and device history to ensure contract accuracy and compliance with company policies. The position works closely with Sales, Customer Support, Field Service, Pricing and Contracts, and Accounts Receivable to resolve customer issues, support contract renewals and updates, and ensure accurate contract status and billing information.
Through cross‑functional collaboration and attention to detail, this role helps deliver a positive customer experience while maintaining the integrity of service contract data and processes.
Duties & Responsibilities
- Create service items, contracts, credit memos, debit memos, post invoices and create re‑bills to correct pricing and billing errors.
- Generate contract quotes as requested by supervisor.
- Interact with ACIST Sales Administration and Bracco Accounts Receivable and Collections Departments to address A/R issues.
- Execute all service contracts in SAP.
- Create, dispatch and monitor PMs per service contract agreements in Salesforce.
- Manage third‑party account(s) to ensure proper service coverage for end users and provide needed information proactively or as requested.
- Provide repair history as requested from Third Party Service Partners.
- Assist in gathering key business data and contract metrics as required.
- Improve customer loyalty by supporting customer satisfaction programs, ensuring high‑quality customer service experiences, and promptly resolving customer concerns.
- Minimum associate’s degree or equivalent; alternatively, high school diploma plus 3 years of experience in a similar role.
- 1‑2 years of experience in service contract management and customer relations.
- Excellent verbal, interpersonal and customer service and communication skills.
- Ability to interact with customers at various levels and interface with multiple functions within the ACIST and Bracco organizations.
- Effective written, graphical and software application skills – proficiency with MS Office Suite and ability to use business systems.
- Strategic thinking, analytical and creative skills to help market and grow service revenue.
- Ability to plan and organize customer mailings, follow‑up and tracking.
- Multi‑tasking and prioritization skills.
- Self‑motivated, hands‑on, results‑driven and project‑oriented.
- Ability to work both independently and as part of a team.
- Strong organizational, administrative and record‑keeping skills.
Estimated Starting Hourly Rate Range: $26 - $29 hourly
